A charitable foundation based in Kuala Lumpur is seeking to hire an Operations Manager. The position offers a monthly salary of up to RM8,000.

This role entails overseeing the comprehensive operations of the organization, with a focus on formulating policies, executing effective processes, and ensuring adherence to regulatory standards. Responsibilities include managing operations, fostering team dynamics, leading quality assurance initiatives, as well as handling budgeting, mentoring team members, and providing reports on operational performance.

Responsibilities

1. Strategic Planning

Collaborate with the operations team to develop the business strategy. Create and execute policies. Engage with fellow operations team members to shape the comprehensive business strategy. Take part in strategic meetings to evaluate and enhance the Foundation’s vision, mission, and long-term objectives.

2. Goal Setting and Alignment

Establish specific and quantifiable objectives for the department that are in harmony with the strategic aims of the organization. It is essential that these departmental objectives bolster the overarching business strategy and play a significant role in the company’s growth and success.

3. Performance Metrics and Monitoring

Consistently assess and evaluate performance metrics. Establish and articulate key performance indicators (KPIs) that correspond with the strategic objectives of the department and the overarching goals of the organization. Arrange regular meetings with members of the operations team to review performance, offer constructive feedback, and establish new targets.

4. Communication

Clearly articulate the strategic vision and objectives to all members within the operations department. Ensure that team members comprehend their responsibilities in relation to the achievement of these strategic goals. Oversee the execution of strategic initiatives, offering guidance and support to facilitate successful implementation. Regularly assess and enhance the strategic plan to maintain its relevance and effectiveness.

5. Team Leadership and Development

Guide and inspire teams to improve both productivity and engagement levels. Cultivate a positive and cooperative workplace atmosphere. Establish a setting in which team members are encouraged to express their ideas, provide feedback, and voice any concerns. Conduct regular team meetings to review progress, tackle challenges, and acknowledge achievements. Track advancements and modify plans as needed to guarantee ongoing development. Encourage a collaborative work culture that allows team members to exchange knowledge and assist one another.

6. Performance Reporting and Improvement

Provide a comprehensive report on operational performance, emphasizing both achievements and opportunities for enhancement. Recommend and execute strategies for improvement derived from performance assessments. Summarize essential insights while underscoring significant accomplishments and potential areas for growth. Carry out regular evaluations to measure the effectiveness of improvement initiatives on overall performance.

7. Program Operations and Support

Collaborate extensively with program managers to strategize, execute, and assess projects and initiatives aimed at benefiting underprivileged children. Track program results, outputs, and impact indicators to evaluate efficacy and guide decision-making processes. Organize logistics and resources for events, campaigns, and community outreach efforts. Offer direction and assistance to partner organizations, grantees, and beneficiaries to facilitate the successful implementation of projects. Participate in fundraising initiatives and undertake additional responsibilities as needed.

Qualifications

  • Candidates should possess strong communication skills and a minimum of 6 years of leadership experience, particularly in business planning, management, or operations management.
  • A solid understanding of nonprofit principles and guidelines, along with budgeting, analytical, and reporting capabilities, is essential.
  • The ideal candidate will have a proven history in fundraising, grant writing, and managing donor relationships, with the ability to thrive in a dynamic, multicultural setting.
