Mission

  • Supervise efficient management of all materials and inventory within the warehouse, ensuring safe and effective handling, storage, and receipt and delivery of goods while maintaining accurate inventory records.
  • Enforce warehouse policies and procedures, and resolve any issues or problems as the,
  • Communicate and coordinate effectively with various teams and departments to ensure seamless operations.
  • Expedite and track all executed Purchase Orders and Contracts to ensure goods, equipment, materials, and spare parts are delivered in a timely manner including coordinating with suppliers to ensure timely delivery of materials.


Duties

  • Overall responsible for managing onshore storage of the spare parts and consumables and support the efficient delivery of logistics services in line with the Company’s procedures and local requirements
  • Support Procurement & Logistics Manager on all onshore warehouse activities in line with company procedures and policies, and notify significant matters and suggest potential improvements.
  • Demonstrate leadership quality.
  • Develop and plan the training of the team under her/his management, including on-the-job-training of colleagues and trainees
  • Responsible for managing the Labuan warehouse & open yard storage of the spare parts, consumables, and the storage space with the support from Material Controller, including
    • perform regular inventory check and stocktaking activities.
    • maintain location records of spare parts and consumables;
    • identify and resolve any discrepancies in inventory records;
    • ensure warehouse storage space being properly manage and to notify onshore technical team and offshore team on warehouse storage level capacity; and
    • perform warehouse materials preservation, management, and arrangement when required by technical team.
  • Familiarize him/ herself with Yinson’s Computerized Maintenance Management System (CMMS)
  • Maintain Material Requisitions and Purchase Orders database. Inform all parties concerned on the status of Material Requisitions and Purchase Orders
  • Ensure that used spare parts and consumables are withdrawn from the database
  • Administrate logistics. Prepare, transmit and follow up shipping manifests for supply vessels
  • Ensure hazardous materials transportation and storage regulations and procedures are adhered to
  • Assist to control issue and storage of health hazardous substances. Ensure MSDS and PPE are available in chemical storage
  • Coordinate spare parts and consumables supply with Material controller
  • Participate in preparation of spare parts lists for shutdown jobs.
  • Keep warehouse and storerooms tidy and in good order
  • Ensure all of the warehouse transaction activities such as Good received (GR) are performed and updated according to procedures.
  • Supervise and coordinate the activities of Material Controller including:
  • Loading and unloading, scanning and labeling, sorting, organizing, and maintaining inventory control;
  • Handling all logistical management including additional activities services, such as inland transportation/haulage/trucking from port to warehouse;
  • Handling all import/export, in country and offshore activities with the designated logistic agent(s) to ensure goods are cleared and delivered in timely manner;
  • Review and compile all completed logistics documents, consignment of goods before submitting the documents to client and/or to respective client logistic agent(s) for declaration purposes.
  • Collaborate effectively with cross-functional offshore and onshore teams to ensure seamless operations, including smooth material deliver flow and timely delivery to meet boat schedules
  • Establish a good rapport with stakeholders, clients, suppliers and colleagues.
  • Ensure Labuan warehouse operations are in accordance to Asian Supply Base (ASB) rules and regulations.
  • Identify areas for process improvement and implement initiatives to streamline material handling operations, reduce costs, and increase efficiency.
  • Review and implement Labuan Warehouse standard operating procedures (SOPs) and best practices for material handling, inventory management and others related procedure to Warehouse activities in UNISEA System
  • Follow up with any audit findings for close out.

HSE Responsibilities

  • Responsible for maintaining a high degree of awareness;
  • Lead by doing; setting an example for others;
  • Observe and report any unsafe activities, conditions, or situations. If you observe anything unsafe use the ‘Stop Work’ Policy;


Qualifications

  • A degree qualification in or equivalent in logistics, supply chain management, or a related field is preferred.
  • Good English written and spoken


Skills & Experiences

  • Proven experience in material handling or inventory management, with at least 3 years of supervisory experience.
  • Proficiency in using computer systems and software such as in (ERP/SAP) and MS Excel for inventory management and data analysis.
  • Strong attention to detail and accuracy in inventory management and record-keeping.
  • Knowledge of regulatory requirements, such as Occupational Safety and Health Administration (OSHA) guidelines, related to material handling and storage.
  • Excellent problem-solving and decision-making skills.
  • Ability to work flexible hours and adapt to changing schedules or demands.
  • Demonstrate strong leadership, project management and cost analysis


Excellent communication and interpersonal skills, with the ability to effectively coordinate and collaborate with internal teams and external vendors.
