Key Responsibilities

People Leadership and Management

  • Lead and manage the Shared Services team, ensuring they are motivated, well-trained, and aligned with the organization’s goals.
  • Develop talent management strategies, focusing on performance improvement, career development, and succession planning.
  • Foster a collaborative, high-performance culture by promoting teamwork, engagement, and innovation within the team.
  • Regularly assess team structure and resource allocation to ensure optimal performance and delivery of services.
  • Conduct regular employee engagement activities to improve morale and create a positive work environment.
  • Implement professional development programs and training to upskill the workforce, ensuring continuous improvement in service delivery.

Budget Management and Resource Allocation

  • Oversee the annual budget planning for the Shared Services department, ensuring efficient allocation of resources in line with organizational priorities.
  • Monitor ongoing expenses, ensuring cost-effectiveness while maintaining high standards of service.
  • Identify opportunities for cost savings, process improvements, and automation to maximize efficiency within the department.
  • Prepare regular reports on budget utilization and financial performance for senior management review.

Culture and Morale

  • Act as a champion for a positive and inclusive workplace culture, driving employee engagement initiatives across the Shared Services function.
  • Implement recognition programs to boost employee morale and reward high performance.
  • Build strong cross-functional relationships with department heads to ensure a unified, collaborative company culture.
  • Regularly gather employee feedback and drive initiatives to address concerns related to work-life balance, engagement, and job satisfaction.

Policy Development and Compliance

  • Establish and update shared service policies and procedures to ensure operational excellence and compliance with relevant regulations.
  • Ensure adherence to company policies and drive compliance across all departments interacting with Shared Services.
  • Conduct regular audits to evaluate the effectiveness of existing policies, procedures, and controls, making recommendations for improvements as necessary.
  • Manage risks within the Shared Services function by staying up to date on changes in regulations and leading proactive efforts to mitigate them.

Client and Stakeholder Relations

  • Build and maintain strong relationships with key clients, stakeholders, and partners.
  • Address and resolve any operational issues or client concerns promptly.

Compliance and Risk Management

  • Ensure company operations comply with industry regulations, legal requirements, and internal policies.
  • Develop and implement risk management strategies to mitigate potential operational risks.

Innovation and Growth

  • Drive operational innovation and explore new technologies or methodologies to enhance business processes.
  • Contribute to the company’s growth strategy through the identification of new business opportunities and market trends.

Key Requirements

  • Bachelor's degree in Business Administration, Management, or a related field (Master’s degree or MBA preferred).
  • Proven experience in a senior operational role, preferably as a COO or in a similar executive position.
  • Strong understanding of business functions such as HR, finance, marketing, and sales.
  • Demonstrated ability to develop and implement operational strategies and manage complex projects.
  • Exceptional leadership, communication, and interpersonal skills.
  • Analytical mindset with the ability to interpret financial and operational data.
  • Proven track record of driving operational excellence and achieving business goals.
