Swiss Re's Event Management (EM) team is looking for an Event Associate. In this role, you support the planning and execution meetings, events and conferences for internal customers.

Objectives

Swiss Re continues to enhance the Corporate Real Estate & Services (CRES) functions to better align with business needs in the region and global operating model. As Event Associate APAC you will create value through delivery of professional event management services across APAC.

Responsibilities

Event Management & Operations:

  • Work closely with the APAC Event Managers to;
    • Support event delivery of events across APAC, including co-ordination and execution of events at Swiss Re and non-Swiss Re locations. (On-premises, off-premises and remotely)
    • Maintain event budgeting, invoice handling including creation of purchase orders, request for payment and tracking spend
    • Venue sourcing within APAC. Maintain good relationships with hotels/ venues and keep up to date information of event venue options/ list for APAC
    • Create and maintain vendor/supplier relations
    • Gift and production sourcing
    • Timely response to event requests via Event Services platform
    • Invitation and registration management with MS Dynamics software
  • Familiarise and know-how of the event tools in Swiss Re (MS Teams Live Event, MS Teams meeting, MS Dynamic, MS Teams Form, Sli.do, Qualtrics etc.)
  • Promote Event Management services among customers
  • Build, maintain and engage in stakeholder (business) relationships
  • Work closely and maintain a harmonious working relationship within CRES as well as other departments such as Communications, Multi-Media Services (MMS), Information Technology (IT), Digital Workplace (DWP)
  • Work cohesively in the wider CRES APAC team
Event Management Data

  • Updating APAC Events calendar regularly. Take follow up action with EM members to ensure calendar is up to date.
  • Maintaining APAC Events list with update information and follow up with EM members if missing information
  • Assist Head Event Management APAC to consolidate event data for analyse, such as APAC event spending

About You

  • Minimum 4 years' experience as an event planner/associate, in an event agency, hotel, conference or corporate environment
  • Good knowledge about the event industry
  • Experience in handling data
  • Proficiency in Microsoft applications (Word, PowerPoint, Excel, Teams and Outlook). Advanced Excel data processing skill would be required.
  • Proficiency in market known events tools (MS Teams meeting, MS Dynamic, MS Teams Form, Sli.do etc.). Previous experience in managing invitation tool would be an advantage
  • Experience working with others (customers and vendors) in different countries is an advantage
  • Fluent in English. Proficiency in another APAC language an advantage
  • Ability to multi-task and adapt to changing environments
  • Customer service attitude with flexible mindset
  • Excellent organisational skills and efficient working style
  • Ability to meet deadlines with a high degree of efficiency and attention to detail
  • Good time management and communication skills
  • Positive team player and able to work independently
