Administrative Executive (Senior)

Responsibilities

  • Ensure smooth office operations by comprehensively understanding administrative guidelines and company systems, fostering efficiency and adaptability.
  • Implement and optimize office operational procedures to facilitate workflow and enhance productivity.
  • Uphold adherence to administrative guidelines and company policies, offering support for administrative tasks as necessary.
  • Demonstrate autonomy and effective work with minimal supervision, while collaborating with colleagues as needed to achieve common goals.
  • Strive for continuous improvement, delivering effective and efficient performance, and actively seeking opportunities to enhance office operations.
  • Quickly familiarize oneself with company systems to maximize productivity and streamline processes.
  • Collaborate with the company secretarial service (COSEC) to ensure regulatory compliance, managing corporate filings, and maintaining accurate documentation.
  • Manage the office budget and expenses, including tracking and processing invoices and expense reports.
  • Ensure proper upkeep and maintenance of properties, office equipment, and renewal of permits/licenses.
  • Actively participate in planning and executing company events, such as the annual dinner.
  • Undertake ad hoc duties as required to meet office needs and fulfill management directives, demonstrating adaptability and readiness to contribute to various aspects of office management.

Requirements

  • Possess at least a Bachelor's degree in Business Administration or a relevant field.
  • Demonstrated knowledge of administrative management practices and procedures, with a minimum of 3 years of experience managing office operations, preferably within the financial services industry.
  • Proven experience in leadership, particularly in managing teams, would be advantageous.
  • Well-organized, adaptable, and excels in navigating the administrative challenges of supporting a diverse office environment.
  • Excellent written and verbal communication skills in English, Mandarin, and Bahasa Malaysia.
  • Strong attention to detail and adept problem-solving skills.
  • Proficient in organizational and planning skills with a track record of ethical leadership abilities.
