Responsibilities: • Provide comprehensive administrative support to the operations department and other supporting departments. • Manage executive schedules, prepare correspondence and edit documents. • Organize and coordinate meetings, including preparing agendas and arranging meeting rooms. • Maintain physical and electronic documents and ensure compliance with company policies. • Provide administrative assistance and track project progress. • Handle sensitive information with discretion and maintain professionalism. • Acting as the central communication point in the company for delivering messages, reports, and instructions. • Preparing essential documentation such as reports, meeting minutes, and memos. • Ensuring office cleanliness and managing office supplies and equipment. • Liaising with government sectors and third parties as necessary. • Understanding and following government license application processes and renewal requirements. • Managing company licenses and ensuring all necessary documents are obtained and renewed. • Managing company properties and reporting any damage or missing items. • Supervising the Admin department staff and ensuring compliance with company policies. • Ensuring implementation of administrative policies and revising the manual when necessary. • Understanding and maintaining the Quality Management System. • Perform other administrative tasks as assigned and continuously improve processes and procedures. Requirements: • Diploma/Bachelor in Business Administration or equivalency. • Minimum three (3) years of working experience in administrative roles or related fields. • Proficient computer skills, including Microsoft Office (Word, PowerPoint, Outlook, and Excel). • Strong written and verbal communication skills in English and Bahasa Malaysia. • Excellent organisational skills and detail-oriented. • Knowledgeable in License and Permit application • Strong supervisory and leadership skills. • Knowledge of office management systems and procedures. • Ability to meet task’s datelines. • Good time management skills and the ability to prioritize work. • Disciplined, able to accept instructions and have a high work ethic. • Knowledgeable about scheduled waste management as well as its laws and regulations.
