1) Handle administrative tasks

a) Prepare and remain updated record for Delivery Order (DO), MRF, Quotation, Job sheet, Repair Maintenance Report, correspondence and other clerical task.

b) Control the company asset, vehicle, tools and asset key.

c) Answering telephone calls and inquiries in a professional manner.

d) Assist in dispatch/ collect documents/ spare parts.

e) Handle and organize office systems for filling, mailing and databases.

2) Handle human resources tasks

a) Compile and check employee overtime and attendance record.

b) Ensure the employee apply the leave accordingly.

c) Handle discipline issues of employee.

d) Compile document for employee registration & resignation, medical or insurance claim.

e) Make travel arrangement and prepare business travel expenses claim.

3) Handle Inventory/ Consumable Items Stock

a) Ensure adequate record keeping and manage all documentation (such as stock card & request form) to confirm proper stock levels and maintain inventory control.

b) Ensure stock requisition form is signed by requestor and approved by HOD.

c) Monitor inventory movement/ transfer properly.

d) Conduct monthly & quarterly stock check.

e) Perform other stock-related duties, including stock organizing, packing, pricing and labeling.

4) Assist in account and finance tasks

a) Issue sales invoices and send them to customers through various channels (By hand, e-mail or courier services)

b) Follow up and send reminders regarding unpaid bills or statement of account to customers when assigned

c) Compile and sorting the expenses claims

d) Handle with vendor credit application, customer registration and other account related tasks

5) All company information shall keep strictly confidential and shall not disclose.

6) Above works are not limited to HLM Machinery Sdn Bhd, site Kuching but includes other subsidiary and branch companies.
7) Need to liaise with China Manufacture
