Assist in maintaining the office systems in data management and filing to ensure that the daily operation runs smooth.

CORE RESPONSIBILITIES

Admin Function:

  • Responsible for requisition and maintenance of office equipment including furniture and fixture, telephone system, keys
  • Responsible for printing of office stationeries, including envelopes, letterhead, business name cards
  • Coordinate all documents for approval by management
  • Communicate with internal and external parties on matters related to administration / office management activities
  • Applying permit-to-work for job sites
  • Provide general administrative support to management
  • Other general administrative duties
  • Perform other related duties incidental to the work described above
  • HR Function:

  • Responsible for the effective functioning HR processes and systems.
  • Coordination and cooperation with other departments to reach company’s goal.
  • Ensure all statutory and labor law and requirements regarding employment are complied with in both letter and spirit.
  • Proactively identify operational as well as strategic HR needs and develop action plans/solutions to meet them.
  • Help department managers build harmonious employee relations and prevent escalation of employee issues.
  • JOB SPECIFICATIONS

    Technical Skills

  • Min. ‘O’ levels / ITE or similar with experience in office & HR administrative duties
  • IT skills in Microsoft packages – Word, PowerPoint & Excel.
  • Use of office equipment and telephone system, etc.
  • Knowledge of renewal procedures in licences, making travel arrangements, etc.
  • Knowledge of basic HR administrative support procedures.
  • Knowledge of basic accounting skills advantageous.
  • Soft Skills

  • Good interpersonal and communication skills to interact with management as well as colleagues and external parties
  • Personal planning, organising and time management skills
  • Ability to multi-task and work calmly under pressure and deadline
  • Detail-oriented with excellent analytical and communication skills both verbal and written.
  • Strong decision-making skills, problem solving skills and conflict management abilities
