We hiring Order Handler to join our KL Hub team in Shah Alam.

About the role:

  • To liaise with customers, to document and process their orders, and ensure that the items are received on time. To prepare various documentation (invoices, shipping documents,…), as well as to maintain respective master data.
  • Obtaining orders, customers’ details and billing information into our internal sales system
  • Verify customer and order information for correctness, checking it against previously obtained information as necessary
  • Received orders booking into SAP in timely manner
  • Daily communication with product companies regarding order delivery, forwarding information to the respective departments
  • Inspecting outgoing orders to ensure compliance with customer specifications
  • Reviewing orders for completeness and forwarding incomplete orders for further processing
  • Liasing with production, sales, shipping, or delivery personnel to trace or accelerate shipments
  • Notify customer in case of discrepancy between requested delivery and actual delivery date
  • Preparing invoices, shipping documents etc.
  • Master data creation of new vendors, materials etc. in SAP and further maintenance
  • Executing order acknowledgement, inbound entries and goods receipts in SAP
  • Ensuring all CRM (customer relationship management) activities are reviewed and followed daily
  • Monitor shared email boxes to make sure all requests are actioned and responses provided within agreed time
  • Secure timely operation and escalation of issues to manager
  • Support that all process specifics and tasks are documented and updated (manuals)
  • Work actively on optimizing the efficiency and quality of daily tasks
  • Suggest improvements of standard processes to the process owner
  • Follows instructions given by superior
    • During all work activities observes policies, regulations and directives for assuring safety and protection of health and comply with policies and targets of quality, with the policies and targets of environmental protection and related procedures and directions
    • Keeps his / her working place and equipment in order and in the line with the 5S system principles
    • Shows active approach towards broadening knowledge and qualification
    • Active approach to BPI and partnership building
    • Follows internal guidelines of the employer and generally applicable regulations

Requirements:

  • University education
  • Experience working in shared service centre would be plus, experience with logistics flow is an advantage
  • Advanced level of Microsoft Office (excel) SAP knowledge is an advantage
  • Excellent verbal and written communication skills
  • Assertive and diplomatic approach
