Are you a wizard at turning retail spaces into stunning retail stores? As a Project Executive(Project Coordination & Facility Management), you'll be at the heart of transforming retail environments from blueprints to brilliant reality and managing the office & retail facilities. You’ll juggle design visions and construction projects to make sure every fit-out and fitting project not only meets but exceeds expectations. If you’re passionate about creating eye-catching retail spaces and have a knack for project management, this role is for you!


Key Responsibilities:

Project Coordination & Facility Management:

  • Ensure smooth day-to-day operations, acting as a central point for all facility-related projects and maintenance.
  • Develop detailed project plans, set realistic timelines, and monitor budgets to ensure projects stay on track.
  • Regularly assess project progress, making necessary adjustments to maintain timelines and deliverables.
  • Manage invoicing and billing for projects and store openings, track payments, and follow up closely with finance.
  • Support office facility management and oversee the upkeep of company facilities.

Contact Liaison:

  • Serve as the key point of contact for Head of Department (HOD) and management, providing regular updates on project progress.
  • Align project execution with the company's vision, brand standards, and expectations.
  • Work collaboratively with the Club21 team to coordinate and deliver projects, responding to requests or issues within 24/48 hours.

Quality Assurance for Retail Facility Management:

  • Ensure all facility work, including fit-outs and maintenance, meets the highest quality standards and complies with regulations.
  • Conduct regular inspections of ongoing work to verify adherence to quality and safety requirements.
  • Address any issues, defects, or snags promptly to ensure projects remain on track and meet expectations.

Team Management and Coordination:

  • Lead and coordinate with contractors, suppliers, and internal teams to ensure project milestones are met.
  • Foster a collaborative work environment, ensuring clear communication and alignment across all teams.
  • Oversee on-site contractors and ensure that work is proceeding according to schedule.
  • Anticipate potential challenges or obstacles, developing proactive solutions to keep the project on track.
  • Address any operational or project-related challenges swiftly to maintain momentum.

Vendor and Supplier Management:

  • Identify and engage reliable vendors and suppliers to procure necessary materials and fittings.
  • Ensure timely delivery of materials to meet project timelines and verify the quality of supplied goods.
  • Quickly resolve any supply chain or vendor-related issues to avoid project delays.

Store Maintenance Coordination:

  • Serve as the first point of contact for all retail store maintenance issues, coordinating with store managers, contractors, and landlords.
  • Ensure the completion of all maintenance and repair tasks in a timely manner, ensuring minimal disruption to operations.
  • Manage post-project defects for existing and newly opened or upgraded stores.

Additional Responsibilities:

  • Perform additional job duties as requested to support the team and overall company objectives.


Qualifications:

  • Diploma and/OR Bachelor’s degree in Project Management, Construction Management, Interior Design, Retail Management, or a similar field.
  • Hands-on experience managing retail fit-out and fitting projects with a history of delivering great results.
  • A solid grasp of retail design, fit-out processes, and fitting operations.
  • Stellar organizational skills and the ability to juggle multiple projects with ease.
  • Excellent communication skills and a client-focused approach.
  • Added advantage for candidates with exposure to AutoCAD software.
  • Ability to travel to project sites and a bit of flexibility in your hours to meet deadlines.
