JOB DESCRIPTION • To assist the Project Manager/Construction Manager in all site documentation/admi matters • To implement all policies, activities, procedures, and instructions as relevant and required by the PSP & PQP management system • To comply with the legal and other requirements applicable to the organization • To check, track, and record all the incoming & outgoing correspondence from the site and ensure sufficient documents details before issuance/filing • To carry out the admin work such as attendance (daily and monthly), leave application record of all staff (hardcopy, softcopy and excel record/report), filling and all the works related to administration • Monitor staff leave record, check staffs claim form before handover to HR dept/Accept • To record interview listings, arranged by sites Assist/guide new joiners on documentation, explaining company procedure on leave records, accommodation and etc • To undertake any and all other duties and responsibilities as so instructed by superior • To set up, manage and maintain all project documentation filings, organize in accordance to project documents for ease of access • Manage and oversee all types of information and documents of the project including copying, scanning, storing and translating the document • Responsible for the project of various design documents of the project including copying, scanning, storing and translating document • To keep record on all company assets, and to track on the issuance record as well as ensure all company assets are in order and organize in a proper manner • Data entry works such as input document data into the standard registers ensuring that the information is accurate and up to date • Perform document storage duties to ensure documents are saved and safeguarded from destruction. To archive all superseded drawings and documents in a propitiate • To up-keeping construction drawings on site remain latest and updated at all times Maintain the files and control logs as required by the project and ensure information are up to date at all times. REQUIREMENTS • Candidates must possess at least a Diploma in Administration or equivalent. • Proficient in Microsoft Office. • Fit and proper handling of confidential information is a must. • Good planning, and strong interpersonal and communication skills. • Good organizational skills • Attention to details • Ability to work and be highly organized under pressure & able to prioritize and handle multiple tasks. • Able to work independently under tight deadlines, resourceful, disciplined, and has initiative and a good working attitude.
