Job Summary:

The Sr. Operations Manager is responsible for overseeing retail operations, asset management, networking with contractors/suppliers, outlet expansion & opening, and warehousing & logistic management. This role involves creating and implementing operational strategies to drive productivity, profitability, inventory management, and customer satisfaction across all outlets. Additionally, the Operations Manager will handle ad hoc projects and report directly to the Chairman.

Key Responsibilities:

Operational Management

  • Co-create and execute operation policies and processes to improve efficiency and profitability.
  • Ensure compliance with company policies, procedures, and Malaysian regulatory requirements.
  • Enforce health and safety policies and procedures at all retail sites.
  • Coordinate maintenance scheduling for facilities and equipment across outlets.
  • Develop and implement budgets and plans for retail operations.

Standard and Compliances Management

  • Supervise Retail Executive and outlet staff daily activities, sales progress, and adhere to the company’s operations.
  • Supervise & monitor performance & discipline of staff thus enforces company policy & procedures.
  • Ensure compliance with company policies and safety regulations.
  • Ensure the Sales Team follows service standards and store SOPs are always executed on the sales floor.
  • Monitor inventory levels and coordinate stock supply between HQ and retail outlets.

Administration Management

  • Making sure renewal of business license, bomba, fire extinguisher, insurances, roadtax, trademark, etc for HQ & all outlets are all in set.
  • Manage credit card merchant liaison.
  • Handle tenancy agreements and facilities management.
  • Oversee utilities bill, scheduling servicing in outlet and HQ has been done regularly.

Supply Chain Management (Warehouse)

  • Oversee the warehousing operations to ensure efficient storage and distribution of beauty products and equipment.
  • Coordinate with suppliers and logistics partners to manage inventory levels and timely delivery of goods to retail outlets.
  • Develop and implement inventory control procedures to optimize stock levels and minimize stock-outs or excess inventory.
  • Monitor warehouse safety and security protocols to safeguard products and equipment.
  • Collaborate with the Retail Team to forecast demand and plan inventory replenishment cycles.
  • Conduct regular inventory audits to reconcile physical inventory with system records and identify discrepancies.
  • Optimize warehouse layout and storage systems to maximize space utilization and streamline picking and packing processes.
  • Implement quality control measures to ensure the integrity and condition of beauty products and equipment.
  • Train and supervise warehouse staff to ensure adherence to standard operating procedures and safety guidelines.

Procurement Management

  • Maintaining good supplier relationships and negotiating contracts.
  • Researching and evaluating prospective suppliers.
  • Preparing budgets, cost analyses, and reports.
  • Managing inventories and maintaining accurate purchase and pricing records.

Additional Responsibilities

  • Perform ad-hoc duties as required to meet operational and business needs.

Qualifications

  • Bachelor's degree in Business Administration, Operations Management, or related field (Master's degree preferred).
  • 3-4 years of experience in retail operations management, preferably in the beauty or healthcare industry.
  • Strong leadership and communication skills.
  • Proven ability to develop and implement operational strategies.
  • Knowledge of inventory management, warehousing, and procurement processes.
  • Familiarity with regulatory requirements and compliance.
