Description

1 To assist manager/supervisor or any other designated person as determined by the company on all site administrative matters and correspondences
2 To implement all policies, activities, procedures, instruction as relevant and required by the Quality System
3 Providing support and assistance to the site management team in delivery of updating site drawings, receipt of order, liaison with site supervisor teams, sub-contractors and other party involved
4 Issue the Purchase/Service Requisition Form (PSR) upon request by the Site Project team and liaise with Purchasing Department accordingly.
5 To manage the construction materials order includes the arrangement to received or collect the materials, verify the quantity and quality received are according to Purchase Order. Documented the record in Goods Received Notes (GRN).
6 Issue the Vehicle/Machinery Condition reports for Site Project team and liaise with Workshop team on the repair/maintenance arrangement.
7 Submit all correspondence form to HQ Office in a timely manner. (PSR, GRN, RMRF, VMC, SRF, ITF, WODR, D/O, Invoice, etc)
8 Prepare, manage and submit respective reports as instructed by Management in a timely manner. (Weekly report, Asset Masterlist Report, etc)
9 To prepare and maintain proper organization of filing system, storage of documents and information for easy traceability (digital or hardcopy)
10 Prepare, verify, and manage the employee timesheet, attendance, overtime works and other employee’s data records (daily, weekly and monthly basis) while reporting to respective Site Superior accordingly.
11 Assist Site Project team to liaise with HR, Admin and Account related matters (E.g.: Employee advance, passport, permit, Travel expenses, Claim form etc).
12 To submit the utilities records to Admin Department on monthly basis (SESCO & LAKU).
13 To order, manage and maintain the materials/service of the inventory for Site Office supplies includes the electronics equipment.
14 Organize and schedule meetings/appointment for project team on sites includes set-up the meeting room accordingly.
15 Working cooperatively with other departments and ensuring compliance to all timeframe.
16 Miscellaneous clerical work that may include making copies, scanning, filing, errands, etc.
17 To execute any other duties as and when required by immediate superior and management.
