Description

1 Payroll Management Related:
1.1 To compile and input all new employee personal details into HR database and HR Payroll system, to maintain records and database and files.
1.2 Verifying overtime claims and outstation claims and ensure update in the payroll processing on monthly basis.
1.3 To update the information on new hire / promotions / transfers / salary adjustment / termination and others payroll related data.
1.4 Responsible on all payroll functions to ensure employees are paid in a timely and accurate manner.
1.5 Process all staff allowances claim such as overtime, replacement leave and etc.
1.6 Generate payslips on time for distribution to all employees.
1.7 Process and submit government statutory payment request on time to Finance team i.e. EPF, SOCSO, EIS, PCB, HRD Levy and others.
1.8 To liaise with the Finance Department on matters relating to payroll.
1.9 Generate payroll related reports for China HQ and management approval.
1.10 Ensure timely payroll related report submitted to relevant statutory authorities.
1.11 To liaise with China HQ for any payroll related issues, enquiries and reports.

2 Attendance and Leave Application Related:
2.1 To monitor the staff attendance and leave application (medical and annual leave, etc.).
2.2 To verify site attendance records, ensure tally with the attendance summary submitted.

3 Letter and Forms administration Related:
3.1 To prepare employment letter, promotions letter, transfers letter and termination letters within the time frame given.
3.2 Assist on the transfer form, salary adjustment form and other HR Forms as and when required.

4 Recruitment Activities Related:
4.1 To ensure obtain full approval for recruitment requisitions from both China HQ and Malaysia.
4.2 To assist on the recruitment and selection process, advertisement of opening positions, interview arrangements.
4.3 To be responsible for handling reference checks concerning current or former employee, to verify information mainly on previous employment details, working attitudes, any disciplinary records and others.
4.4 To ensure recruitment process procedures are implemented, maintain record keeping and recruitment log analysis.
4.5 To assist on recruitment related reports.

4.5 Employees Related Issues:
5.1 To assist in exercise caution, fairness, proper judgment in consultation with the Directors on any authorized personnel when carrying out any disciplinary action against any alleged employee for any misconduct, given minor or major offence in order to avoid any legal implications. The disciplinary action could include one or combination of issuance of warning letter, conducting domestic inquiry or even termination of employment.
5.2 To assist in manage employees’ attendance issues, performance, disciplinary issues and others HR related issues.
5.3 To provide guidance to project team on handling of employees related issues as and when required.

6 Training Related Issues:
6.1 To ensure employee raise the training requisition form online and or offline (depends on the project).
6.2 To ensure training procedure are implemented and maintain the record keeping.
6.3 To ensure training analysis and training plan was completed on yearly basis.
6.4 To ensure training procedures are implemented, maintain record keeping and training records summary.
6.5 To assist on training related reports.

7 HR Legislation Related:
7.1 To be familiar with Employment Act 1955, Industrial Relation Act 1967, Employment (Part-Time Employees) Regulations 2010, Employees Provident Fund Act 1991, Employees’ Social Security Act 1969, Employment Insurance System Act 2017, Minimum Wages Orders 2022 and Minimum Retirement Age Act 2012. At the same time to ensure keep following the latest update for the mentioned Act.
7.2 To have some general knowledge on other HR Legislation related Act such as Income Tax Act 1967, Employees’ Minimum Standards of Housing, Accommodations dan Amenities Act 1990 and etc.
7.3 Attentive to the latest HR legislation related news, sharing, new legislation and others.
7.4 To liaise with Government department and statutory bodies as and when required (such as Labour Office (JTK), Industrial Relation Office (IR), Lembaga Hasil Dalam Negeri (LHDN), Pertubuhan Keselamatan Sosial (PERKESO), Kumpulan Wang Simpanan Pekerja (KWSP) and etc.).

8 HR Policies, Processes and Procedures Related:
8.1 To ensure HR policies, processes and procedures are implemented.
8.2 To provide suggestion and discussion with HR team on existing policies, processes and procedures for improvement purpose.

9 Documentation Control Related:
9.1 To keep all record of human resource management such as promotions, transfers and terminations in P-file (hard copy) as well as HR server (soft copy).
9.2 To ensure proper documents safe keeping for all government department and statutory bodies.

10 To assist in all HR related matters.

11 To ensure the Integrated Management Systems procedures are implemented.
