Job Summary:

The Administrative Officer for the Higher Education Department provides essential administrative support for the institution’s higher education programs. This role is responsible for coordinating day-to-day operations, managing student records, and ensuring efficient communication between academic staff and students. The candidate must have strong organizational skills and the ability to handle various administrative tasks related to higher education management.

Key Responsibilities:

  • Administrative Support:
  • Provide administrative assistance to the Higher Education Department, including document preparation, scheduling meetings, and managing departmental communications.
  • Ensure accurate record-keeping and filing of all program-related documents and correspondence.
  • Assist with the organization of academic events, workshops, and seminars.
  • Student Management:
  • Maintain and update student records, including enrollment, attendance, and academic performance.
  • Assist students with inquiries related to courses, timetables, and program requirements.
  • Coordinate student registration, orientation, and graduation processes.
  • Coordination with Academic Departments:
  • Facilitate communication between the Higher Education Department and academic departments to ensure smooth operations.
  • Collaborate with lecturers and department heads to ensure timely submission of course materials, exam schedules, and grades.
  • Regulatory Compliance:
  • Ensure the department complies with all institutional policies and government regulations, including those set by Kementerian Pengajian Tinggi (KPT) and the Malaysian Qualifications Agency (MQA).
  • Assist in the preparation and submission of necessary reports to regulatory bodies.
  • Data Management and Reporting:
  • Prepare and manage departmental reports, including student data, program performance, and other relevant metrics.
  • Compile data for internal and external audits and quality assurance reviews.
  • Other Administrative Duties:
  • Support the development and maintenance of online systems for student records and program management.
  • Assist in handling student complaints, requests, and administrative tasks as needed.

Qualifications:

  • Degree in Administration, Education, or a related field.
  • Strong organizational and multitasking skills.
  • Proficient in Microsoft Office applications (Excel, Word, and PowerPoint).
  • Familiarity with higher education systems and student management software is an advantage.

Experience:

  • Minimum 1 year of experience in an administrative role, preferably in a higher education setting.

Job Type: Full-time

Pay: RM1,500.00 - RM1,800.00 per month
