We are looking for Procurement Executive with experience in handling purchasing for Logistic and vessel operation company.

OBJECTIVES OF AN EXCELLENT PROCUREMENT EXECUTIVE:

1. ALWAYS negotiate with each individual supplier to get the BEST price, quality and service you want. Never relax your standards and maintain professionalism (arms length) in dealing with the suppliers.

2. The best practice is to always have at least 3 suppliers for each item you wish to purchase for comparison of quality and price.

3. ALWAYS be on a look out for ways to improve and improvise on existing purchasing system.

4. ALWAYS Use effective telephone techniques including negotiating on the telephone.

5. ALWAYS try your best to learn the key criteria set by the Group for finding suppliers who will best serve the Group’s needs.

6. Identify ways to turn a supplier problem into a financial advantage for your company.

Effective Purchasing System

  • Inspect shipments/consignment
  • Negotiate for lower price should there be minimum deviations of quality of the goods supply, provided the deviation will not have any impact on our operation
  • Always keep management inform of any cost savings that you have successfully negotiated
  • Always endeavour to reduce organization’s cost of doing business
  • Focus on pricing and (hidden) costing techniques used by the suppliers
  • Always take into consideration the true cost of inventory

Negotiate Optimum Price, Quality and Service

  • 6 questions to ask after receiving a price quote : i) Is this your best price? ii) Any chance to improve on the price? iii) How come the other suppliers are able to quote lower price than you? iv) Can I speak to the real person in charge (to get a better price?)? v) Are you really still interested in maintaining a long term business relationship with us? vi) Always tell the supplier the price that you want and tell them to “Let me think about it and I will call you back”.
  • Negotiating techniques – always buy time to ‘play’ with the suppliers.

  • Do not make concessions with the supplier without management approval

  • Have a List of supplier sources (contact person and number etc) in a book
  • Always talk to industry players and existing suppliers to locate and evaluate new suppliers
  • Your key role is to ensure suppliers work harder by giving freebies etc (eg. Free transportation)
  • Avoid being too dependent on one supplier

Get The Most Out Of Suppliers

  • On time delivery techniques
  • Actions taken if suppliers fail to perform eg penalty or discount or even threat of termination of relationship
  • Always have in place various technique to handle problems like: unscheduled deliveries, poor workmanship, unexpected costs and other risks
  • Anticipate and deal with potential supplier problems

Work closely with our Mechanic Team

  • Order the correct parts as per sample from or part numbers given by our mechanics
  • Update the mechanics of estimated parts delivery date
  • Ensure regular forklift and lorry consumable parts are stock up as per past rates of consumption
