We are looking for a dedicated and detail-oriented Administrative Staff to join our team. The ideal candidate will be responsible for managing day-to-day office operations, supporting management and staff, and ensuring that the office runs smoothly and efficiently. This role requires strong organizational skills, attention to detail, and the ability to handle multiple tasks at once.

Key Responsibilities:

1. General Office Management:

- Manage day-to-day office operations, ensuring that office supplies are stocked, equipment is maintained, and the office is clean and organized.

- Serve as the first point of contact for visitors, phone calls, and emails, handling inquiries or directing them to the appropriate department.

- Manage office schedules, meetings, and appointments for management and staff.

- Oversee the maintenance of office files, both electronic and physical, ensuring that they are up-to-date and well-organized.

- Assist in managing and distributing incoming and outgoing mail and deliveries.

2. Administrative Support:

- Provide administrative assistance to the management team, including scheduling meetings, preparing reports, and handling confidential documents.

- Organize and maintain company records, including client contracts, employee records, and financial documents.

- Assist with the preparation of documents, presentations, and reports as required by management.

- Assist with travel arrangements, including booking flights, accommodation, and transportation for staff members.

3. HR Support:

- Assist with HR-related tasks such as maintaining employee records, processing leave requests, and handling payroll administration in coordination with the HR department.

- Support in the recruitment process, including posting job vacancies, scheduling interviews, and maintaining candidate databases.

- Assist in organizing staff events, training sessions, and company-wide meetings.

4. Accounting Support: (Plus point)

- Assist with basic bookkeeping tasks, such as processing invoices, expense reports, and preparing financial records.

- Support the finance team with data entry and financial tracking using accounting software.

- Assist in managing petty cash and preparing bank deposits as necessary.

5. Communication and Coordination:

- Act as a liaison between various departments to ensure smooth communication and coordination.

- Help in maintaining strong communication with clients, vendors, and other external parties.

- Take minutes during meetings and distribute them to relevant stakeholders.

6. Project Assistance:

- Assist with various business projects as needed, including conducting research, gathering data, and providing administrative support.

Qualifications:

- Education: Minimum Diploma or Bachelor's Degree in Business Administration, Management, or related field.

- Experience: Minimum of 2-3 years of experience in an administrative or office management role.

- Familiarity with office management systems and procedures.

- Basic accounting or bookkeeping experience is a plus.

Skills:

- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets).

- Excellent written and verbal communication skills in English and Mandarin (Cantonese is a plus).

- Strong organizational and time management skills with the ability to prioritize tasks effectively.

- Ability to handle confidential information with discretion.

- Problem-solving skills and ability to work independently with minimal supervision.
