Job Description

  • Receptionist

    • Greet, welcome and any guests/visitors that are coming to the office by ensuring they are seated at the right place, have the necessary access to the office and the building and also have been guided to the appropriate person or space at the office.

    • Maintain workplace security by issuing, checking, and collecting tags as necessary and maintaining visitor logs.

    • Answer, screen, and forward incoming phone calls.

    • Ensure the reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures).

    • Receive, sort, and distribute daily mail/deliveries.

  • Workplace Administration

    • Maintain office security by following safety procedures and controlling access via the reception desk.

    • Order office supplies and keep the inventory of stock.

    • Perform other clerical or administrative duties related to the workplace such as supporting renovation works, working with vendors to ensure all office & pantry supplies are in order.

    • Handle room bookings, travel arrangements, support in event logistics and administration.

    • Own office cleanliness and security topics.

    • Assist with internal engagement activities.


Qualifications

  • Excellent English written and verbal communication skills.

  • Competency in Microsoft applications including Word, Excel, and Outlook.

  • Minimum 1 year Experience with reception, administrative and clerical procedures.

  • Good time management skills.

  • Able to contribute positively as part of a team, helping with various tasks as required.

  • Excellent communicator.

  • Well-organized.

  • Hands-on experience with office equipment (e.g.printers)

  • Ability to be resourceful and proactive when issues arise

  • Excellent organizational skills

  • Multitasking and time-management skills, with the ability to prioritize tasks

  • Customer service attitude
