Job Description
- Manage Director’s calendar, assessing priority of appointments and reallocation, as necessary.
- Manage Director’s travel arrangements whether official, family, or private and confidential matters.
- Maintain Director’s office systems, including data management and filing.
- Develop and ensure efficient documentation and filing system for both paper and electronic records.
- Maintain records of Director’s contacts.
- Produces information by transcribing, formatting, inputting, editing, copying, and transmitting data and graphics
- Prepares reports by collecting and analyzing information.
- Conserve Director’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications
- Screen calls, enquiries and requests, and deal with them when appropriate.
- Supervise all incoming/outgoing mail.
- Assist Director in researching and following up with action on matters which fall within the Director’s responsibility – chasing responses, triggering follow-up action.
- Produce documents, briefing papers, reports, and presentations for the Director.
- Organize meetings and ensure that Director is well prepared for those meetings, preparing agendas, pre-meeting briefings and meeting papers.
- Any other duties as may reasonably be required by the Director.
Qualifications:
- Candidate must possess at least a Professional Certificate, Diploma, Advanced/Higher/Graduate Diploma, Secretarial or equivalent.
- Computer literate with excellent knowledge in Power Point and Excel
- Minimum 2-3 years experience as Personal Assistant.
- Good problem-solving skills and resourceful to research for information.
- Good command of English & native language (Mandarin/Bahasa Melayu) - both written and verbal.
- Candidates fluent in mandarin preferred as role requires candidate to deal with mandarin speaking clients.
- Able to interact with people of all level.
- Candidate must possess own transport.
