Job Description:

  • Manage and ensure all site office documentation, including hard & soft copy documents, email correspondence, and administrative filing, are up to date and easily traceable.
  • Assist Resident Engineer/Resident Architect in preparing weekly progress reports and meeting minutes; act as a liaison for external stakeholders regarding documentation matters.
  • Ensure site office equipment is well-maintained to support smooth operations; promptly rectify any breakdowns.
  • Maintain records of site staff attendance, overtime claims, worker lists, CIDB green cards, machinery certificates, crane operator licenses, and safety documents for audits.
  • Assist in preparing and compiling documents for stage billing claims and coordinate site activities and project meetings as required.

Job Requirements:

  • Diploma in Business Administration, Management, Marketing or equivalent.
  • Proficient in Microsoft Office, especially Excel and PowerPoint; familiarity with Autodesk Construction Cloud is advantageous.
  • Highly organized with strong administrative skills and attention to detail.
  • Excellent interpersonal and communication skills; ability to tactfully interact with diverse stakeholders.
  • Willingness to be based at project/construction site and work 5.5 days per week.
  • Minimum 2 years of Project Administration experience; familiarity with property development/construction industry preferred.
