Key Responsibilities:

Operations:

  • Ensure efficient operations and continuously optimize processes by implementing standard procedures in line with company guidelines.
  • Cooperate in the development and implementation of both current and new business operations and reporting systems.
  • Actively coordinate projects to achieve optimum results, demonstrating hands-on involvement and attention to detail.
  • Assist in developing and implementing business plans under continuous supervision.
  • Prepare management reports and deliver strong presentations, demonstrating business acumen and strategic insight.
  • Ensure that management directions and instructions are aligned with the implementation of procedures to achieve higher standards.
  • Maintain strict time management and a results-oriented approach in all tasks.

Administration & Procurement:

  • Source, inquire, and procure materials/products as required, including preparing price comparison analyses and obtaining approvals from the relevant levels of authority.
  • Track and ensure the smooth and efficient delivery of materials, including on-site receipt and inspection.
  • Prepare reports and work schedules, and build and update material data.
  • Perform clerical tasks such as matching Purchase Orders (POs) and Delivery Orders (DOs), and maintaining organized and accurate filing systems.
  • Create, organize, and maintain computerized records containing POs and relevant documents.
  • Maintain purchasing documents, files, and records to ensure the availability of documentation and compliance with established policies and regulatory guidelines.

Government Agency Coordination:

  • Familiar with MIDA, MITI, and CUSTOM procedures for documentation preparation.
  • Liaise with government authorities to manage applications, renewals, and submissions, ensuring compliance with regulatory requirements.
  • Coordinate with CUSTOMS on import/export matters, duty exemptions, and incentives, and prepare related reports for presentation.
  • Stay updated on changes or updates in regulatory bodies and update the company’s internal control and compliance programs accordingly.
  • Maintain relationships and coordinate with regulatory authorities.

Job Requirements:

  • Minimum Degree in Mechanical Engineering, Procurement or a related field.
  • Ability to review and understand engineering drawings and financial models.
  • Minimum of 3 years of working experience in supply chain, procurement, or project management.
  • Strong analytical skills, results-oriented, organized, detail-oriented, and committed to deadlines.
  • Ability to multitask, proactively manage tasks, and systematically plan workload.
  • Capable of working independently in a dynamic and challenging environment.
  • Proficient in MS Office, AutoCAD and Sketchup applications.
  • Strong attention to detail and problem-solving skills.
  • Preferably senior executives looking for a new challenge and career development.
  • Excellent interpersonal, communication, and influencing skills, with a high level of proficiency in verbal and written English and Bahasa Malaysia. Mandarin is an added advantage.
  • Strong sense of urgency and adherence to timelines.
  • Ability to collaborate and communicate effectively with superiors, subordinates, co-workers, suppliers, and vendors.
  • Willingness to travel as required.
