Admin Executive

Job Description

• Arranging family travel plans e.g. booking of flights, accommodations, visas, ground transport, restaurant reservations, itinerary etc.
• Managing extensive and highly active family calendars across different time zones
• Taking responsibility for upkeep and ensuring timely renewals of all family identity documents e.g. Passports, Re-entry permits, APEC card etc.
• Sourcing, liaising, and scheduling external contractors for various home upgrading projects and repair works.
• Arranging appointments and restaurant reservations for personal and professional needs.
• Attend meetings or events when required.
• Assist with family and household events e.g. RSVP, catering etc.
• Source for online and/or offline purchases and handle logistics e.g. payment, shipping, insurance.
• Responsible for car matters e.g. repairs, servicing appointments, parking.
• Assist with matters concerning other household staff: domestic helpers, driver.
• Involve in the update of company website and preparation of employee training matters.
• Run errands and ad-hoc duties as and when assigned.

Job Requirements

• Possess Diploma/ Degree in Business or Corporate Administration, Human Resource or any equivalent qualifications.
• At least 2 years of office executive or related experience.
• Good command of English & Mandarin (both oral and written).
• Maintain a high level of confidentiality and a sense of urgency.
• Ability to work under pressure as well as the ability to deal with interruptions and other unexpected events and make necessary adjustments.
• Highly organised, detail-oriented, efficient, responsible, and self-motivated.
• Knowledgeable and resourceful on a wide range of areas related to the role.
• Good interpersonal skills with strong work ethics.
• Perceptive in understanding the employers’ likes and dislikes and able to anticipate needs.
• Knowledgeable with Apple products is a plus.
