Context:
Under the overall supervision of the Head of Resources Management and the direct supervision of
Senior Finance Assistant, the Finance Assistant will be responsible for the following duties: (These
duties are generic and thus not all inclusive nor are all duties carried out by all Finance Assistants)

Core Functions / Responsibilities:
1. Extract and input data from various sources in financial or accounting systems.
2. Respond to accounting, budget, or financial queries regarding data from staff in the unit and
elsewhere.
3. Assist in the preparation of the payroll by executing validity checks on monthly payroll
results and assist in the quarterly reconciliation of external vendor’s payroll reports against
vendor balance in SAP.
4. Review all types of payments starting from purchase to payment requests verifying that
they are duly authorized, and all the supporting documents are attached therewith.
5. Create new Vendor Accounts in PRISM.
6. Verify vendor requests for accuracy and conformance with IOM finance policies and
instructions.
7. Perform claim verifications against documentation to ensure that purchases/services are
properly authorized and that the goods have been received or services rendered.
8. Reconcile medical examination invoices against service requests and ensure timely and
proper recording in accordance with the specific program procedures.
9. Prepare necessary receipt and journal vouchers.
10. Assist in the preparation of budget, accounting, financial, statistical reports, and other
reports as required.
11. Provide assistance to all staff services such as travel, expense claims, document retrieval,
etc.
12. Ensure proper and systematic filling of all posted payments and other accounting
documents according to the established standards.
13. Responsible for the Petty Cash of the office; and,
14. Perform other related duties as required.

Required Qualifications and Experience:
Education
• Diploma certificate with minimum four years of relevant work experience or
• Bachelor’s Degree from an accredited institution with a minimum of two years of relevant
work experience.

Experience
• Relevant working experience including use of SAP accounting software.
• Preferably with experience working in international organizations or governmental
institutions.

Skills
• Proficient computer skills, including Microsoft Office Suite
• Ideal candidate will have a positive attitude and be a problem-solver.

Languages
• Fluency in English and Bahasa Malaysia is required.
