Work location: Tebrau 3, Johor Bahru (near to JPJ)
Working day/hours: Monday - Friday 8.30 am - 5.30 pm
**Please do not worry about the list of works below, most of these are based on the request and not daily routine, except handling calls**
Job Responsibilities:-
In charge of office general administrative duties:
- Handle incoming calls (less frequency due to nowadays people prefer to use WhatsApp/ email)
- Postage/courier service
- Liaise with sub-con e.g. janitor, water dispenser, photostat machine, pets control, building maintenance, etc.
- Manage procurement (purchase requisition), e.g. stationery, groceries, etc.
- Stationeries management: take orders and distributions, and perform monthly stock take to ensure the quantities match the inventory balance in the SQL system.
- Office meeting room, pantry, facilities & utility, maintain bulletin board, safety, etc.
- Ensure on-time submission of all invoices to Account for payment.
Accommodation and flight booking:
- Handle staffs' travel requisition
- Ensure booking and payment
Secretary to CEO:
- Handle CEO’s travel schedules
- Check-in flight 1 day earlier and send the boarding pass to CEO
- Handle and compile CEO’s claims
Company vehicles:
- Tracking service schedule, road tax renewal, Puspakom arrangement, etc.
- Ensure payment
Manage and track agreement/licensing’s due date:
- Group insurance
- Sub-con services
- Business and company building-related licenses/permit
- Tenancy agreement
Other:
- Staff welfare e.g. annual dinner, company trip, etc.
Job requirement:-
- Candidates must possess at least a Diploma or equivalent.
- A minimum of 3 years(s) working experience in the related field will be an added advantage for the position.
- Responsible, meticulous, and possess good working, self-proactive, initiative, and motivated attitude
- Independent and able to work under pressure and multi-tasking environment
- Preferable those with office admin background.
