ROLES, RESPONSIBILITIES & AUTHORITIES:

Based in Kuching and reporting to the Group Managing Director, you will be responsible for providing an efficient and responsive administrative, organizational, and logistical service to the Group Managing Director.

The following duties are not exclusive and certain items require delegation in whole or in part to be adequately fulfilled.

  • Assist GMD in managing, planning and execution of key strategic engagements with all stakeholders.
  • Involved in a wide variety of events/ meetings involving management, government agencies, private stakeholders, press interviews.
  • Act as liaison officer between GMD and heads of divisions or external agencies, as needed.
  • Vet through all internal and external communication materials.
  • Coordinate tasks or projects with internal and external stakeholders as directed by the GMD.
  • Meet with relevant parties on behalf of the GMD and prepare summary reports for the GMD.
  • Provide administrative and research support.
  • Take notes or minutes for meetings attended by the GMD.
  • Arrange meetings or obtain information about current/incoming programs conducted by NAIM with others government officials.
  • Plans, coordinates and ensures the GMD 's schedule is followed and respected.
  • Manage appointments, meeting schedules, travel arrangements and any programs involving the GMD.
  • Prepare invitations for meetings organized by the GMD and ensure the attendance of the invitees in the meeting.
  • Ensure that ethics and protocols are adhered to and act professionally and responsibly at all times.
  • Always ready to work overtime (including weekend) when required to perform any duties directed by the GMD; (allowance)
  • Ensure that the Commission's confidential information / documents are properly kept.
  • Perform any other duties assigned or as directed by GMD from time to time.

JOB SPECIFICATIONS & REQUIREMENTS

  • Demonstrable experience in an administration/executive assistant/PA role in a highly pressurized environment requiring tact, judgment and discretion in handling internal and external contacts.
  • Matured thinking with excellent both oral and written communication skills and ability to professionally represent the MD’s office.
  • Possessing strong interpersonal skills, confident in ability to work independently, using own initiative to deliver results with minimal supervision.
  • Willing to travel and outstation.
