JOB TITLE: REGISTRY MANAGER
Job Purpose
The Registry Manager is responsible to plan, organise and manage all activities related to student records, including student admissions, Senate and governance matters and provide responsive, considerate and knowledgeable service. He/she will have the full management of the day-to-day operations of the Registry Department.
The Registry Manager is required to ensure adherence to all academic policies formulated by the University College Senate; create and safeguard academic records including student information on their admission and academic progression.
The Registry Manager is also required to provide input to policy and procedural deliberations and acts decisively to ensure that Government, University and Faculty policies related to student admission, academic progress and student records and financial aid are fairly and appropriately reflected in administrative systems and procedures supporting processes at University and Faculty levels.
Key Duties and Responsibilities
- Provide direction on day-to-day operations in the Registry Office to ensure effective coordination of services and use of resources are met.
- Organise work responsibilities in the Registry Office to maintain service and operational standards.
- Develop, implement and evaluate policies and procedures for admission and registration standards and requirements.
- Supervise and manage the maintenance of all admission and academic records of all students.
- Responsible for resource planning and budgeting for the department to ensure delivery of a responsive and high quality service.
- Attend all relevant academic committee/board meetings to maintain adherence to academic policies and practices.
- Responsible for the organisation of convocation and official ceremonies.
- Verify completion of diploma and degree requirements before Convocation.
- Set and ensure compliance with university policies and procedures pertaining to the observance of academic calendars and academic sessions.
- Make available updated rules, regulations and processes governing the University.
- Interacts with counterparts at other universities and colleges, officials of the Ministry of Higher Education and related Agencies.
- Maintain and monitor the progress of e-ipts updates and submission to regulatory bodies such as MOE, MQA, KDN etc.
- Assist in the coordination of accreditation and audit visits conducted by regulatory bodies.
- Act as the Secretary of Senate and Management Committee meetings.
- Act as a representative of Saito University College to respond effectively and diplomatically on various matters to the press, interest groups and general public.
- Assess operational compliances based on regulatory requirement, auditing standards and company policies, report findings and make recommendations/
- Assist in the quality and audit plans of Saito University College.
- Ensure quality related issues and customer feedback are promptly resolved through effective corrective action.
- Keep up-to-date with changes in policies and regulations from regulatory bodies and enforce it accordingly without delay.
- Assist the Deputy Vice Chancellor (Academic) and the Registrar in al other management and administrative duties.
- Participate and contribute as a member of the senior management team in the development, growth and well being of the University College and its Constitution.
- Prepare resource planning and budgeting for the department.
- Undertake any other duties as may be reasonably directed by the Registrar or other superiors.
Requirements
- Minimum a Bachelor’s Degree in any field or equivalent
- At least 5 years of related work experience in academic registry or admissions, including experience in managing a complex and varied workload in a higher education institution
- Familiar with MOHE and MQA regulations and requirements
- Excellent written and verbal communication skills
- Excellent interpersonal skills with ability to work and collaborate effectively with a wide range of people
- Good time management and organisational skills with ability to multitask, prioritise and problem solve
- Good knowledge of computer applications including Word, Excel and PowerPoint
Job Type: Full-time
Pay: RM5,000.00 - RM8,000.00 per month
