Are you someone who loves coordination, thrives on organization, and wants to be part of a team creating mindful and fun events? Karmably Events is searching for a proactive, enthusiastic, and highly organized Virtual Assistant to join our team full-time!
About Us:
At Karmably Events, we host unique wellness experiences like Goat Yoga and Mindfulness Workshops, designed to bring joy and relaxation to corporate teams and private clients. We’re growing and need someone like YOU to help us keep everything running smoothly behind the scenes.
This role has flexibility to work from home and because our customers are on the AUSTRALIAN timezone, the hours for the role will be 6:30 AM - 2:30 PM KL Time.
What You’ll Do:
- Client Admin Support
- Create and send invoices, ensuring all event details are confirmed.
- Handle all client communications, from sending necessary documents to following up 3 days prior to events to make sure everything is set.
- Collect and manage post-event feedback, sending out surveys, and adding clients to our database.
- Coordinating with Stakeholders & Teams
- Work with animal suppliers and teams, ensuring dates and times are approved.
- Create and manage runsheets, working closely with the Partnership Manager for final approval.
- Provide continuous updates to our Partnership Manager for any adjustments needed during the event planning process.
- Customer Support
- Manage all customer responses through Eventbrite, Facebook, and Instagram.
- Handle ticket refunds, transfers, and event updates.
- Edit event details on Eventbrite when necessary.
- Outreaching & Data Entry
- Contact prospective clients who may be interested in our services.
- Filter through surveys and enter data into Excel for new leads or event planning purposes.
- Reach out to local influencers or news agencies to promote public events.
- Filter through ads or email forms, forwarding leads to the Partnership Manager.
Who You Are:
- A strong communicator who is comfortable with managing multiple tasks and deadlines.
- Highly organized with a keen eye for detail.
- Comfortable working remotely and able to self-manage your time.
- Proficient with Eventbrite, Facebook, Instagram, and Excel (or willing to learn).
- Someone with a can-do attitude who wants to grow with us!

- This is an English speaking role so perfect written english communication is a must.

- Strong communication skills with a friendly and engaging personality.
- Previous experience in project coordination, customer service, and sales.
- Comfortable using social media platforms and messaging/chat features.
- Ability to multitask and prioritize in a fast-paced environment.
- Excellent organizational skills and attention to detail.
- Self-motivated with a positive attitude and willingness to learn.
