JOB PURPOSE The Document Controller is responsible for managing the company’s documents and ensuring their accuracy, quality, and integrity besides helping the company adhere to record retention policies, safeguard information, and retrieve data more effectively. The Document Controller is also responsible for controlling the numbering, filing, sorting, and retrieving of electronically stored or hard copy documentation produced by all departments in a timely, accurate, and efficient manner. Directly involved in internal and external audit preparation besides becoming one of the appointed internal auditors. JOB DESCRIPTION DUTIES & RESPONSIBILITY 1. Process Request for Quotation (RFQ) received from the Sales team and maintain documents such as customer’s drawings, specifications, and BOM. 2. Control of issue and receipt of documents and drawings. 3. Responsible for administering the Engineering Change Notification process, ensuring all changes are suitably captured and tracked through the ECN process including generating and controlling all related paperwork. 4. Ensure the latest revision of the customer’s drawing and BOM is being issued to the production and QC team. 5. Responsible for QHSE document updates and coordination. 6. Responsible for reviewing and implementing any changes to the SOP and QMS as per ISO standard requirement. 7. Ensure all necessary QHSE documentation is complete. 8. Coordinate with all departments and ensure all documents are kept in the right place and the right department file archive. 9. Ensure all documents are well checked and submitted on time and be responsible to edit documents that have typographical errors and other types of errors. 10. Develop and maintain document control processes for efficient management and recording of QHSE documentation. 11. Custodian for QHSE documents that must be controlled and kept for audit or internal requirement. 12. Allocates and controls the document numbering system 13. Ensure all electronic and hard copy filing is accurate and is easily retrievable. 14. Responds promptly to requests to retrieve information, information searches, and general requests for support from department personnel. 15. Responsible for training employees on records management procedures and policies. 16. Assist in conducting internal audits and follow up NCR’s reply and closure. 17. Demonstrate a total commitment to I-Precision QHSE policies and complies with all safety rules, Client’s local regulations, and applicable legislation. 18. Conducting 6S, Internal audit & Supplier Audit 19. Any other assigned task by a superior. EDUCATION & EXPERIENCE 1. Minimum Diploma in Engineering or Quality-related qualifications. 2. Minimum 2-3 years of experience in Document Control & ISO requirement. Experience with process improvement methodologies. 3. Experienced in conducting an internal audit, supplier audit & HSE audit 4. Knowledge in reading Engineering drawing 5. Well organized, ability to work well under pressure, manage competing demands and meet tight datelines without compromising standards. 6. Excellent written and verbal communications skill in English; proficient in Microsoft Office 7. Knowledge of ISO standards and requirements. SKILLS 1. Demonstrate strong analytical skills and strong interpersonal skills. 2. Ability to prioritize, manage time well, multitask and troubleshoot. 3. Ability to work independently, self-directed, and highly motivating. 4. Mature, proactive, take initiative, detail-oriented, dependable and trustworthy. 5. Possess good knowledge in document control and management process, standards, and ISO standards. 6. Ability to robustly manage documents in a controlled format. 7. Experience in the generation and control of documentation, demonstrating the ability to manage, drive and deliver high-quality, accurate information for control through the company’s process. 8. Ability to build relationships and work as a team as well as on individual tasks.
