Summary

Ensure smooth functioning of account payable operations on a timely and accurately.

Key Responsibilities

  • Retrieve payroll details from the HR department, including, EPF, SOCSO, and income tax, for individual cost centers. Update all information in the cash flow template.
  • Analyze financial reports, highlight areas of concern, and recommend improvements.
  • Assist in setting up and improving finance/account policies, processes, procedures, and reports, as well as financial accounting and information management systems.
  • Prepare monthly supplier payment planning based on budgeted cost given by management and update in cashflow for management review and forecast budget purposes.
  • Facilitate monthly closing; perform journal entries, record overseas supplier’s invoices - verify with supporting documents, prepare monthly banker’s acceptance (BA) and invoice financing (IF) reconciliation, and make necessary expenses accruals during monthly closing period.
  • Ensure all documents are recorded and filed timely and adequately.
  • Prepare AP Aging Reports, Suppliers Expenses Reports, and Purchase Order Issue Report to Assistant Manager, Finance or Chief Financial Officer. Monitor and ensure all payment obligations are met timely and accurate.
  • Prepare documentation to apply for Banker’s Acceptance (BA) and Invoice Financing (IF) bank’s facilities for local and overseas suppliers. Monitor bank payments to suppliers.
  • Perform supplier and bank reconciliation periodically to ensure data accuracy in the accounting system. In case of discrepancy, investigate and make necessary adjustments in the event of variances.
  • Prepare report, and compile necessary documentation for outlet leasing drawdown upon instruction of Treasury for drawdown submission to the bank.
  • Review and verify all accounting entries and payments prepared by the Executive, Finance AP against invoices, purchase orders, delivery orders, and any other related documents.
  • Prepare cheque for monthly submission of SST reports to authorities, upon confirmation by GL Team in order to meet tax obligations of the company.
  • Assist in preparing payments, via online banking or cheques, upon instruction of the Management, to fulfil the company’s payment obligation on behalf Executive, Finance AP.
  • Manage headquarters petty cash payment.
  • Correspond with vendors and respond to AP-related inquiries.
  • Liaise with all departments for anything related to suppliers & vendors regarding payments.
  • Carry out any others and ad hoc duties as assigned by superior.

  • Hands-on, broad-based sound experience in financial management and accounting practices.
  • Good interaction skills and ability to communicate effectively with people at all levels.
  • Good numerical skills and finance acumen.
  • Strong computing skills and advanced MS Office skills, especially Excel.
  • Attention to detail and the ability to work logically, consistently, and accurately.
  • Excellent time management skills and discipline to meet deadlines.
  • Good working knowledge of accounting information.
  • Applies critical thinking and well-thought-out solutions to resolve problems and issues.
  • A proactive individual who can plan and organize self and team and pre-empt issues or problems.
  • Ability to coach and guide subordinates.

Qualification

  • Holds a Degree in Accounting, with 4 years of relevant experience, though not essential.
  • Retailing experience, preferably in Omni channel retailing, is an advantage.
