We are seeking a highly organized and proactive Secretary to provide essential support to our senior management team. This dynamic role involves managing daily activities and administrative tasks for Partners, ensuring smooth operations and effective time management.

Responsibilities

  1. Agenda and Travel Management: Oversee Partners' schedules, appointments, travel arrangements and ensure seamless coordination.
  2. Claims and Log Management: Handle monthly expense claims, timesheets and travel logs for Partners, ensuring timely submissions.
  3. Meeting and Event Coordination: Organize meetings, lunch appointments, prepare minutes and manage event logistics.
  4. Reporting: Assist in maintaining and updating data to ensure data integrity and accuracy throughout the reporting processes.
  5. Office Supplies: Monitor inventory levels and place orders for office supplies as needed.
  6. Confidential Information Handling: Manage confidential information with the utmost discretion, ensuring data security and compliance with Firm policies on information sharing.
  7. Ad Hoc and Personal Support: Provide additional support as required, including personal errands, last-minute tasks, and special requests from the Partners.

Qualifications

  • At least a Diploma or equivalent in Business Studies / Administration / Management or other related field
  • Preferable candidate with min 1 year of work experience; with personal assistance experience being an advantage
  • MS Office and English proficiency
  • Good time management skill
  • Ability to multitask and prioritize daily workload
