Job Description


PRIMARY RESPONSIBILITES

  • Responsible for managing the order received by the client and acknowledged PO in the client’s system.
  • Perform the purchasing process and deal with the supplier accordingly based on goods/material specifications as per the purchase order (PO)
  • Ensure the goods/materials tracking is in place and monitor the deliveries.
  • Managing the inventory and documentation (safety data sheet, permits, delivery note, etc) of goods and works as per client requirements.
  • Ensuring the storage and transit facilities meet the client's requirements.
  • Responsible for ensuring document compilation for billing-related matters.
  • Provide operational assistance and coordination for any operational-related matters.

SPECIFIC RESPONSIBILITES

  • Prepare PRF, get approval for purchasing, and perform receiving in the SGS system upon receiving the goods/materials.
  • Work closely with the supplier to ensure the order is in place, specification meet the requirements, and delivery as per agreed timeframe.
  • Review of consignee of goods/materials and packing list for shipping purposes. Work directly with logistics personnel and monitor closely to transport of material from point to point.
  • Provide supporting documents to FBT for front loading and provide supporting documents for billing purposes.
  • Prepare the monthly UBR/WIP and get approval before submission to finance.
  • Dealing with clients to get approval of supporting documents before billing purposes, such as JCT, SRSC, DO, etc
  • Submit the invoice and supporting documents needed to the client’s account payable or client system suchas SMART GEP, Taulia i-portal, etc,
  • Responsible for opening, maintaining, updating, and closing relevant job files.
  • Plan, coordinate, manage, and provide support to meet operational goals and excellence.
  • Attend internal and external training where required.
  • Provide miscellaneous administrative support as required.
  • Adhere to SGS Code of Integrity policy.
  • Maintain a quality and always vigilant of safety awareness.
  • Adherence to applicable Quality Management System by exercising necessary standard and process when carry out your responsibilities in executing, fulfilling, and always ensuring the compliance of the QMS and is fully implemented in accordance with relevant standard requirements, ISO 17025, ISO 17020, etc (where applicable).
  • Adherence to SGS Health, Safety and Environment (HSE) Policy by uphold a good safety behavior and exercising necessary standard and process when always carry out your responsibilities to ensure compliance to the HSE requirements.
  • Perform any other responsibilities as assigned by your reporting manager and/or Senior Management

Qualifications

  • Certificate or Diploma in any field of study from a recognized college/university.
  • Knowledge in using computer/MS Office is a prerequisite and exposure to BOSS system administration is an added advantage.

  • Possess prior experience in delivering related task and execute similar role.
  • Proficient in English with good communication and report writing skills.
  • Good organization skills and able to prioritize on the multiple task.
  • Able to work under minimal supervision.
  • Knowledge in using computer/Microsoft Office is a prerequisite.
  • Good personality, independent and a good team player.
  • Ability to work at odd hours when called upon.
