What You'll Do

SEA Immigration Specialist for Southeast Asia will assist the SEA Immigration Manager in managing and processing visa applications, work permits, and other immigration-related documentation for employees and business travelers across the region. The specialist will ensure compliance with local immigration laws, provide guidance on visa requirements, and support the overall mobility function.

YOU'RE GOOD AT

Visa Processing & Documentation

  • Prepare, review, and submit visa applications, work permits, and other immigration-related documents for employees across Southeast Asia
  • Ensure accuracy and completeness of all applications and supporting documents before submission
  • Track and manage visa application status, ensuring timely renewals and extensions

Compliance & Regulations

  • Stay updated on immigration laws, policies, and procedures in SEA countries (Malaysia, Singapore, Indonesia, Thailand, Vietnam, and the Philippines)
  • Ensure compliance with local immigration regulations and company policies
  • Liaise with government agencies, embassies, and consulates to resolve any issues related to visa applications

Employee Support

  • Provide clear guidance and support to employees regarding visa requirements, processes, and timelines
  • Assist in preparing employees for visa interviews and provide necessary documentation and advice

Coordination & Communication

  • Work closely with the SEA Immigration Manager to coordinate visa and work permit applications
  • Communicate with HR, recruitment, and other departments to gather necessary information for visa processing
  • Maintain effective communication with employees and stakeholders regarding the status of their visa applications

Record Keeping & Reporting

  • Maintain accurate records of all visa applications, approvals, renewals, and expirations
  • Prepare regular reports on visa processing status, timelines, and compliance issues
  • Manage the visa and work permit database, ensuring all information is up-to-date and accessible

You Bring (experience & Qualifications)

  • Bachelor’s degree in business administration, Human Resources, Law, or a related field
  • Min 5 years of experience in visa processing, immigration services, or a related role, preferably in Southeast Asia
  • Experience working with government agencies and handling immigration compliance
  • Strong understanding of immigration laws and regulations in Southeast Asia
  • Excellent organizational and time management skills, with the ability to handle multiple tasks simultaneously
  • Strong attention to detail and accuracy in preparing documents
  • Effective communication and interpersonal skills, with the ability to interact with employees at all levels
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Proficiency in English; knowledge of additional SEA languages is a plus
  • High level of integrity and confidentiality
  • Problem-solving skills with a proactive approach to addressing challenges
  • Ability to work independently and as part of a team
  • Customer-focused attitude with a commitment to providing high-quality service
  • The role may require flexible working hours to accommodate different time zones within the SEA region
