Responsibilities:

1. SSM Filing & Compliance

  • Ensure timely and accurate submission of statutory documents to SSM and other relevant authorities
  • Familiar with SSM’s portals such as MyCoID, MBRS, e-Bos, MyData , etc.
  • Update and maintain statutory books and records
  • Provide corporate documents and certified statutory forms

2. Drafting of Resolutions and Minutes

  • Assist to draft the resolutions and minutes, for review by the Company Secretary
  • Assist the Company Secretary to circulate the resolutions and minutes for signing, and track and ensure that they are returned for filing

3. Administration & Meeting Logistics

  • Assist the Company Secretary to prepare extracts after the minutes are finalised
  • Assist the Company Secretary to prepare the attendance list before meetings
  • Assist the Company Secretary to organise the Board and Board Committee Meeting, Management Committee Meeting, etc.
  • Assist the Company Secretary in managing all aspects of daily operations of the secretarial function
  • Plan the annual calendar and send out the meeting invites to Board of Directors
  • Manage the Department’s filing system i.e. ensure that all documents are filed neatly, are scanned, and are easy to retrieve
  • Liaise with internal parties such as the Board of Directors, the C-Levels, and Head of Departments
  • Liaise with external parties such as SSM officers, LHDN officers, lawyers and auditors
  • Manage logistics for meetings, such as set up the boardroom, laptop and projector, order F&B, etc.

Requirements:

  • Possessing Degree in Corporate Administration
  • Fresh graduates are encouraged to apply
  • 1-3 years’ of experience in Company Secretarial practice will be an added advantage
  • Advanced professional qualification in Company Secretarial practice such as LS or ICSA are preferred
  • Familiar with the Companies Act and other legal and statutory requirements
  • Good spoken and written English
  • Good communication and interpersonal skills
  • Ability to handle confidential information with discretion and integrity
