Job Descriptions:
- Organize and oversee both internal and external meetings, including board meetings, to ensure strict adherence to governance regulations and provide expert counsel on governance matters.
- Stay updated on laws and regulations, draft regulatory documents, manage shareholder communication, and maintain accurate corporate records.
- Manage risks, coordinate disclosures, prepare corporate communications, and serve as a point of contact for stakeholders.
- Provide dedicated assistance to executives, including support for two directors, and seamlessly integrate meetings, appointments, and events into their schedules.
- Schedule and coordinate weekly meetings, meticulously crafting agendas, reserving appropriate meeting rooms, distributing requisite materials, and preparing comprehensive minutes of meetings for both division and department.
- Assist with document preparation, filing, recordkeeping, and act as a liaison between departments and other units.
- Collect reports, data, and information from relevant departments, ensuring accuracy and completeness before submission.
- Provide general administrative support, including answering phones, responding to emails, and handling correspondence.
- Support other division/department with administrative tasks, project coordination, and communication, as needed.
- Assist with various projects and initiatives and perform ad-hoc tasks assigned by management.
Requirements :
- Bachelor's degree in Business Administration, Corporate Administration or a related field.
- Proven 2 years experience in an administrative role, preferably in a corporate or office environment.
- Fluent in Bahasa Malaysia and English. Proficiency in Mandarin is a plus.
- Strong organizational, multitasking, communication, and interpersonal skills.
- Proficiency in Microsoft Office software.
- Detail-oriented with a focus on accuracy, quality, and timeliness of work, ensuring meticulous execution and adherence to standards.
- Ability to work independently with minimal supervision and collaboratively as part of a team.
- Flexibility and adaptability to changing priorities and deadlines, including willingness to work on off/rest days if required.
