THE ROLE:
This position assists with the event logistics of a diverse portfolio for Asia Pacific corporate events. The coordinator will work with internal and external stakeholders to ensure that strategic objectives are met, budget targets are met or exceeded, and internal customer satisfaction is high. This position requires supervision and is responsible to assist with making a wide range of critical decisions, working closely as part of an overall high-performance team.


HOW YOU WOULD CONTRIBUTE:
• Create spreadsheets, presentations, maintaining files, creating event binders and production books.
• Coordinate contracts for independent contractors, venues, hotels and services. Maintain good communication with the legal team for contract reviews and policies while routing these items for appropriate approvals and signatures - maintain files of executed copies.
• Participation on site and support local or regional events when needed
• Responsibilities to include raising POs, invoices and purchase requisitions
• Research event destination and venues
• Coordination of hotels and travel
• Schedule meetings and take meeting notes
• Coordinate event calendar and agenda updates
• Liaise with vendors and venue partners for all event requirements
• Assist with expense reports, invoice and budget reconciliation
• Support in virtual event production and management of zoom calls and webinars
• On site production management for event setup, video post-production work coordination

Qualifications:

SKILLS AND BACKGROUND REQUIRED TO BE SUCCESSFUL:
• 1 to 3 years of event experience, in corporate, event agency planning, exhibition logistics, hotel banquet and event operations
• Prior experience in a high-touch, customer service environment
• Experience in logistics and operations background
• Excellent verbal and written communication skills, bi-lingual in English/ Chinese
• Proficiency in MS Office (Word, Excel, PowerPoint and Outlook)
• Ability to solve practical problems and carry out responsibilities under general supervision
• Ability to organize workload for effective implementation; ability to manage multiple projects simultaneously
• Ability to function as an effective team member and strong customer relations
• Ability to interact effectively at all levels with sensitivity to cultural diversity
• Ability to travel
• This role is based in KL, Malaysia
