Job Responsibilities:

HR Management:

  • HR Operations:
    • Manage all day-to-day HR operations, including employee relations, payroll, and benefits administration.
    • Ensure that HR processes are running smoothly and are compliant with local employment regulations.
    • Update and maintain employee records in the HRIS system.
  • Policy Development & Compliance:
    • Develop, update, and enforce HR policies, ensuring they are in line with Malaysian labor laws and corporate objectives.
    • Ensure compliance with all regulatory requirements and company policies.
    • Regularly review and improve HR policies and procedures to ensure consistency and alignment with best practices.
  • Performance Management:
    • Oversee the annual performance appraisal process, helping managers set clear objectives, providing training on feedback mechanisms, and ensuring appraisals are completed fairly.
    • Provide guidance and support on employee performance issues and improvement plans.
  • Employee Engagement & Retention:
    • Design and implement employee engagement initiatives to improve job satisfaction, foster team collaboration, and build a positive company culture.
    • Analyze turnover rates and develop strategies to increase employee retention and satisfaction.
  • Training & Development:
    • Identify skill gaps and design employee development programs, including workshops, seminars, and online learning platforms, to enhance career progression opportunities.
    • Manage training schedules and budgets, ensuring alignment with company goals.
  • Compensation & Benefits Management:
    • Review and manage compensation structures to ensure competitiveness and compliance.
    • Oversee benefit programs, including health insurance, bonuses, and other incentives.
  • Employee Relations:
    • Act as a trusted advisor to management and employees for handling workplace issues, providing advice, and resolving grievances.
    • Mediate conflicts and offer counsel on employee disciplinary actions.
  • Collaboration with Parent Company:
    • Serve as the main HR point of contact for communications and reporting between Exis Tech Sdn Bhd and the parent company in China.
    • Manage any expatriate assignments, ensuring compliance with immigration and legal requirements.

Recruitment & Talent Acquisition:

  • End-to-End Recruitment:
    • Lead full-cycle recruitment for all positions, including creating job descriptions, posting job ads, sourcing candidates, conducting interviews, and managing the onboarding process.
    • Manage recruitment for both local and international roles, ensuring the company attracts the right talent to support business growth.
  • Talent Pipeline Development:
    • Build and maintain a strong pipeline of qualified candidates for key positions by networking, attending career fairs, and utilizing online platforms.
    • Collaborate closely with department heads to understand staffing needs and create strategic recruitment plans.
  • Onboarding & Orientation:
    • Develop and implement a comprehensive onboarding program to integrate new hires effectively.
    • Ensure new hires are properly inducted and understand company values, culture, and policies.

Requirements:

  • Bachelor's Degree in Human Resource Management, Business Administration, or related field.
  • Minimum of 3-5 years of experience in recruitment and HR management.
  • Good command of English, Mandarin, and Bahasa Malaysia written and spoken communication skills.
  • Proficiency in Mandarin (written and spoken) is essential due to frequent interaction with the parent company in China.
  • Demonstrated experience in managing the full recruitment cycle.
  • Excellent interpersonal, communication, and leadership skills.
  • Strong organizational and multitasking abilities.
  • Strong knowledge of Malaysian labor laws, HR best practices, and regulations.
  • Ability to work independently and as part of a team.
  • Strong analytical skills and the ability to use data to drive HR decisions.
  • High degree of professionalism, integrity, and discretion.
