Key Responsibilities:

Assist in Day-to-Day Operations:

  • Support the operations team in managing daily tasks to ensure smooth business operations.
  • Help coordinate logistics and deliveries, ensuring timely and accurate processing.
  • Address operational issues and escalate problems to the appropriate team members for resolution.

Inventory Management:

  • Assist in tracking inventory levels and ordering supplies when necessary.
  • Help organize and maintain inventory storage areas to ensure proper stock management.
  • Support with inventory audits and reporting discrepancies.

Documentation and Record-Keeping:

  • Maintain and process necessary operational documents, such as purchase orders, invoices, and delivery records.
  • Ensure that all documentation is accurate and up to date for auditing and compliance purposes.
  • Assist with the preparation of operational reports and updates for management review.

Coordination of Schedules and Activities:

  • Help coordinate employee schedules, ensuring adequate staffing for daily operations.
  • Organize and schedule meetings, events, or other company activities related to operations.
  • Assist in monitoring project timelines and ensuring that tasks are completed on time.

Support Cross-Departmental Collaboration:

  • Work closely with other departments, such as HR, Finance, and Procurement, to facilitate smooth communication and coordination.
  • Assist with cross-functional projects and initiatives, providing operational support as needed.

Customer Service Support:

  • Provide assistance in addressing customer inquiries and operational issues.
  • Ensure that customer orders are processed efficiently and that any service-related issues are resolved in a timely manner.

Compliance and Safety:

  • Ensure compliance with company policies and industry regulations.
  • Help maintain a safe and organized working environment by following safety protocols and reporting any hazards.

Key Requirements:
Education and Experience:

  • Minimum diploma or degree in Business Administration, Operations Management, or a related field.
  • Prior experience in operations or administrative support is preferred.

Skills:

  • Strong organizational and multitasking abilities.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office and basic knowledge of operations software (inventory management, etc.).
  • Attention to detail and ability to work under pressure.

Other Qualifications:

  • Ability to work in a fast-paced environment and adapt to changes.
  • Strong problem-solving skills and a proactive attitude.
  • Team player with the ability to collaborate across departments.

Work Schedule:

  • Full-time (5 days a week), with potential flexibility based on operational needs.
