Job Purpose:

This position is in the International Training and Development Services department (ITDS) located in our Asia Pacific Shared Services Center. In this role you will be reporting to the Team Leader Training Event Management in our Maastricht Financial Shared Services Center. Our department offers training and development services to our Business Units globally. As an international training event coordinator, you are responsible for the complete organization of Global learning events (e.g. training sessions, workshops, and presentations).

Your tasks:

  • To coordinate global development events e.g. Courses, workshops, presentations, by booking participants onto the events in SAP, sending out invitations, pre work, booking rooms and answering queries about the events.
  • To coordinate the external suppliers of training and development events by monitoring frame contracts, tracking invoices, maintaining records of preferred suppliers, and reporting on quality / evaluation forms.
  • To promote training and development activities by answering questions, providing information, giving advice and additional contact details where appropriate.
  • Provide input for management reporting on costs, training records (classroom and online) and quality performance for ITDS Service Manager and Business Partners through accurate and timely data maintenance.
  • Support AP and AR functions in solving supplier and customer queries.
  • To contribute to the continuous improvement process by participating in First Choice Initiatives with the goal to optimize Business Partner satisfaction.
  • Check locally if all materials needed for classroom sessions are available.
  • Keep physical storage of materials in order.
  • Order and prepare materials for all sessions timely and accurately.
  • Communicating with WLTAG for ordering/ production of material and warehouse issues.
  • Order missing items, consumables, and reusables in Replenishment portal.
  • Answer requests from facilitators with regards to materials.
  • Align on timelines and logistics with regional program manager.

Education Qualifications:

  • Vocational/Specialized/Technical/Certification with 1-2 years’ experience in a similar role (event administration or secretarial)
  • HR certification preferred.

Skillset & Experience Level:

  • Fluent English skills, both written and spoken.
  • Junior candidate – less than 2 years of relevant experience.
  • Customer-focused mindset.
  • Personal drive and enthusiasm for event organization
  • Both independent working & team player
  • Eager to learn and develop.
  • MS office skills (Excel, Word, PowerPoint)
  • Financial affinity and acumen
  • Get things done with speed, attention for detail and high professional standards.
  • Excellent coordination, administration, and planning skills
  • Excellent communication & influencing skills, both face to face and in writing
  • Working according to service level agreements and predefined processes

Added advantage:

  • Fluency in a foreign language (i.e. German Language) other than English.
  • Experience with working in an international environment.
  • Experience with SAP and Cornerstone
  • Driving License
