Key Responsibilities

  • Work with the Country Director and program staff to structure and administer grants to local and regional partners, maintain working relationships with local subgrantees, support subgrantees in fulfilling grant requirements, and address subgrantee capacity and training needs.
  • Coordinate the timely submission, organization and review of subgrant proposal documents. Review partner application proposals and budgets for accuracy, allowability of costs, cost reasonableness, and compliance with donor and NDI guidelines.
  • Assist partners with modification requests, introduce budget monitoring tools.
  • Ensure timely collection of partners’ financial reports.
  • Coordinate with the Country Director as well as program and finance staff to review subgrantee reports, and examine costs for allowability and appropriateness of expenses reported.
  • Communicate with subgrantees on reviews and follow up proactively on queries and requests for information.
  • Perform partner’s office visits, as needed.
  • Organize and maintain electronically all financial documents and files related to the subgrant process. Use electronic subgrant management tools, as needed.
  • Support the subgrants close out, assist with collection of unspent funds.

Assist with other duties as assigned.

Qualifications

  • Bachelor’s degree required; major in Accounting, Finance or Business Management and Administration preferred.
  • Minimum of three (3) years of work experience in accounting or grant management.
  • Previous experience with international organizations and/or non-profits is desirable.
  • Knowledge of budget development/management and accounting processes.
  • Strong interpersonal skills and cultural sensitivity to interact effectively with subgrantees as well as all levels of NDI staff.
  • Strong organizational skills and attention-to-detail, with a propensity to complete work accurately and with a focus on quality.
  • Strong oral and written communication skills in English, including the ability to communicate effectively and project a professional image when giving and taking information in writing, in person, and through various communication media.
  • Initiative and proficiency in multi-tasking, time management and problem solving.
  • Capacity to work effectively both independently and as a member of a team.

Proficiency in Google Suite tools and in Microsoft Office, including Excel and Word. Database skills are desired.

NDI seeks a Subgrants Coordinator to support the programs and partnerships for Asia. This position will be based in NDI’s Malaysia office and report to the Malaysia Country Director.
The Coordinator will work closely with the NDI’s Asia Subgrants Administrators and will coordinate with both region and headquarters-based staff. The position is available immediately.
