Job Summary:

The Warehouse Administrator is responsible for overseeing the day-to-day administrative tasks within the warehouse, including managing inventory records, processing shipments, coordinating logistics, and maintaining warehouse data. Key Responsibilities:

  • Inventory Management:
    • Maintain accurate and up-to-date inventory records in the warehouse management system.
    • Track incoming and outgoing shipments, ensuring proper documentation and system updates.
    • Perform regular stock audits and reconcile discrepancies.
    • Assist in managing stock levels and coordinating reordering of supplies when necessary.
  • Order Processing:
    • Process and prepare orders for shipment, including picking, packing, and shipping documentation.
    • Ensure accurate labeling and packaging of products for delivery.
    • Coordinate with the logistics team to schedule shipments and deliveries.
  • Documentation & Reporting:
    • Manage and file all shipping and receiving documents, including bills of lading, invoices, and delivery notes.
    • Prepare daily, weekly, and monthly reports on warehouse activities, inventory levels, and shipping performance.
    • Assist with data entry and maintain accurate records of warehouse transactions.
  • Communication & Coordination:
    • Liaise with suppliers, customers, and carriers to ensure timely delivery and receipt of goods.
    • Coordinate with internal departments (e.g., purchasing, sales, and finance) to ensure smooth order fulfillment.
    • Communicate any delays, issues, or concerns to the appropriate teams and follow up on resolution.
  • System Management:
    • Use warehouse management software (WMS) and other inventory control systems to track and update inventory data.
    • Troubleshoot system issues and assist in maintaining software integrity.
  • General Administrative Support:
    • Answer and direct phone calls, emails, and other inquiries related to warehouse operations.
    • Assist with scheduling and coordinating staff activities, including meetings, training, and performance reviews.
    • Maintain and update warehouse administrative procedures and ensure compliance with company policies.
