Job Summary:

We are looking for a proactive and organized Administrative Assistant to help manage daily office operations and provide administrative support. The role involves ensuring the smooth running of the office, managing supplies, and offering excellent customer service. You will also assist with maintaining office facilities, document management, and helping various teams with their needs.

Key Responsibilities:

  • Answer phone calls professionally and manage office correspondence.
  • Assist with office setup, maintenance, and security.
  • Manage office supplies and handle purchase orders.
  • Track and distribute incoming and outgoing documents and packages.
  • Process and submit invoices to relevant departments for timely payments.
  • Maintain clean and functional common areas and office equipment.
  • Provide support for meetings, including refreshments and assisting the CEO when needed.
  • Keep accurate records of administrative tasks and expenses.
  • Organize and maintain office files and documentation.
  • Handle additional administrative tasks as needed.

Job Requirements:

  • Diploma or Degree in Business Administration or related field.
  • At least 1 year of administrative experience preferred.
  • Strong communication skills with proficiency in English, Malay and Mandarin.
  • Proficiency in Microsoft Office (Word, Excel) for creating reports and presentations.
  • Strong organizational skills and ability to work independently.
