Role Description

An Exhibition Coordinator is responsible for supporting the operations of a visitor center, ensuring smooth daily activities, effective customer service, and positive visitor experiences. This role involves administrative duties, event coordination, and assisting the Store Manager in promoting the company products and services.

Visitor Support and Customer Service:

  • Welcome and assist visitors, providing information about company, products, and services.
  • Handle visitor inquiries, complaints, and feedback in a professional manner.
  • Offer recommendations to enhance visitor experience.
  • Provide detailed maps, brochures, and other material to visitors.

Administrative Support:

  • Assist in the day-to-day administrative tasks, including answering phones, responding to emails, and managing bookings.
  • Maintain records and files related to visitor statistics, feedback, and inventory.
  • Assist with reports on visitor numbers, feedback, and event participation.

Networking:

  • Develop and maintain strong relationships with local businesses / universities / colleges / government bodies / NGOs.
  • Stay connected with industry peers by attending conferences, workshops, and networking events to learn best practices and innovations.
  • Collaborate with local businesses / universities / colleges / government bodies / NGOs on cross-promotional marketing efforts, such as promotion deals, joint social media campaigns, or shared discount programs.
  • Build and maintain relationships with corporate sponsors and partners to support visitor center operations and special events.
  • Represent the visitor center at corporate meetings or community events if required.

Marketing and Promotions:

  • Live host
  • Help develop and distribute marketing materials, brochures, and promotional content.
  • Assist in maintaining the visitor center’s online presence, including social media updates and website content.
  • Support the promotion of special events, and services offered by the visitor center.
  • Work with businesses to promote the visitor center’s offerings.

Safety Compliance:

  • Ensure safety procedures are followed within the center.
  • Assist with maintaining cleanliness and organization of the visitor center.
  • Help monitor visitor flow to ensure that safety and occupancy guidelines are met.

Data Collection and Reporting:

  • Gather and compile data on visitor numbers, demographics, and feedback for analysis and reporting.
  • Provide input for monthly or annual reports on center activities.
  • Use feedback data to suggest improvements to the visitor experience or center operations.

Problem Solving and Visitor Issue Resolution:

  • Address any issues or concerns that visitors may have, providing solutions or escalating to the Store Manager if needed.
  • Ensure that visitors have a positive experience and their needs are met effectively.

Qualifications

  • Bachelor's Degree in tourism, hospitality management, business administration, communications, marketing or any related field.
  • Prior experience in customer-facing roles, such as in hospitality, retail, or tourism.
  • Communication and Project Management skills
  • Exhibit Design and Arts Administration skills
  • Event Management skills
  • Experience in coordinating exhibitions or events
  • Strong organizational and multitasking abilities
  • Attention to detail and creativity
  • Knowledge of the fashion industry is a plus
