Job Description

OVERVIEW :

  • Ensure the smooth functioning of CXO’s / Director’s office by providing comprehensive administrative support to CXO's / Director’s management.
  • Manage CXO’s / Director’s calendar, schedule meetings, and coordinate appointments.
  • Prepare and review documents, reports, and presentations for the CXO / Director.
  • Handle incoming and outgoing correspondence, including emails, phone calls, and mail.
  • Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
  • Ensure all meeting logistics are in place, such as venue, equipment, and catering.
  • Serve as the primary point of contact between CXO / Director and internal/ external stakeholders.
  • Draft and edit correspondence, communications, presentations, and other documents on behalf of CXO / Director.
  • Maintain confidentiality and exercise discretion in handling sensitive information.
  • Assist in the planning and execution of special projects and initiatives led by CXO / Director.
  • Track project progress and ensure deadlines are met.
  • Maintain an organized and efficient office environment.
  • Order office supplies and manage inventory as needed.
  • Oversee the maintenance of office equipment and facilities.

Requirements

  • Bachelor’s Degree in Business Administration, Management, or a related field.
  • Minimum of 2 years of experience in an executive assistant or secretary role, preferably supporting senior executives in a corporate environment.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication abilities.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle multiple tasks and prioritize effectively.
  • High level of professionalism and attention to detail.
  • Proactive and resourceful problem-solver.
  • Discreet, with a high level of integrity and confidentiality.
  • Flexible and adaptable to changing priorities.
