Job Description
OVERVIEW :
- Ensure the smooth functioning of CXO’s / Director’s office by providing comprehensive administrative support to CXO's / Director’s management.
- Manage CXO’s / Director’s calendar, schedule meetings, and coordinate appointments.
- Prepare and review documents, reports, and presentations for the CXO / Director.
- Handle incoming and outgoing correspondence, including emails, phone calls, and mail.
- Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
- Ensure all meeting logistics are in place, such as venue, equipment, and catering.
- Serve as the primary point of contact between CXO / Director and internal/ external stakeholders.
- Draft and edit correspondence, communications, presentations, and other documents on behalf of CXO / Director.
- Maintain confidentiality and exercise discretion in handling sensitive information.
- Assist in the planning and execution of special projects and initiatives led by CXO / Director.
- Track project progress and ensure deadlines are met.
- Maintain an organized and efficient office environment.
- Order office supplies and manage inventory as needed.
- Oversee the maintenance of office equipment and facilities.
- Bachelor’s Degree in Business Administration, Management, or a related field.
- Minimum of 2 years of experience in an executive assistant or secretary role, preferably supporting senior executives in a corporate environment.
- Excellent organizational and time management skills.
- Strong written and verbal communication abilities.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to handle multiple tasks and prioritize effectively.
- High level of professionalism and attention to detail.
- Proactive and resourceful problem-solver.
- Discreet, with a high level of integrity and confidentiality.
- Flexible and adaptable to changing priorities.
