Job Description:
- Greet and assist visitors, clients, and employees with a professional, friendly demeanor.
- Manage incoming phone calls using a multi-line phone system and take messages when necessary.
- Handle incoming and outgoing mail and courier services.
- Assist with document preparation, filing, and data entry for various departments.
- Offer refreshments and ensure visitors' comfort during their visit.
- Monitor and maintain inventory of office supplies in coordination with the admin team.
- Support the planning and execution of company events.
- Coordinate with cleaning staff and vendors for routine and emergency maintenance.
- Assist HR in attendance tracking (e.g., lateness, absenteeism).
- Maintain a tidy and organized reception area and common spaces.
Job Requirement:
- Diploma / Bachelor Degree in related field
- Previous experience in a receptionist, front desk, or administrative support role is preferred.
- Proficiency in using a multi-line phone system and basic office equipment.
- Strong verbal communication and interpersonal skills with a friendly and professional demeanor.
- Basic computer skills, including familiarity with Microsoft Office Suite (Word, Excel, Outlook).
- Good organizational skills with attention to detail, especially for document handling and data entry.
- Ability to manage time effectively and prioritize tasks in a fast-paced environment.
- Capable of handling sensitive information with discretion and confidentiality.
- Team-oriented with the flexibility to support various departments as needed.
- Ability to maintain a neat and welcoming reception area at all times.
