  • Assisting in gathering materials for Board/Committee Meeting and General Meetings, as well as preparation of agenda papers/meeting files for these meetings (if any)
  • Assist in preparation of Minutes of Meetings, Extract Minutes, Circular Resolution and statutory forms/documents
  • Provide corporate secretarial support for Management & IT Steering Committee meetings (circulation of meeting papers & preparation of minutes)
  • Liaising with the External Auditors during audit review and to provide information as requested by the Auditors
  • Assist in updating director’s profile and corporate governance section in the Annual Financial Statement.
  • Coordinate Board and senior management social/networking functions, director orientation and education programs and administrative support for directors as necessary
  • Organize and maintain secretarial portal for statutory forms to ensure optimal efficiency
  • Proficient in using Bank Negara Malaysia’s KijangNet system for submission of applications for appointment of directors, update shareholding etc.
  • Perform admin functions such as preparing of covers letters, correspondence and maintaining proper filling.
  • Prepare requisition for directors' fee, meeting allowance and reimbursement expenses for the directors.
  • Any other related services assigned by the Management from time to time.

Requirements:

  • Bachelor Degree in any field from a reputable university.
  • Preferably a qualified secretary with valid secretarial license from authorised bodies in Malaysia.
  • Minimum of 3 years of working experience in supporting corporate secretarial function.
  • Relevant working experience in supporting corporate secretarial function
  • Resourceful, committed and keen to develop a long-term career in secretarial function.
  • Possess basic knowledge of Companies Act 2016
  • Proficient in both written and spoken English, Bahasa Malaysia.
  • Able to communicate effectively, multi-tasking and work towards meeting deadlines.
