Job Summary The Administrative Assistant supports the day-to-day operations of the nightclub by managing administrative tasks, coordinating with management and staff, and ensuring efficient office operations. This role involves handling confidential information, assisting with payroll and scheduling, and maintaining communication with both internal teams and external vendors. Key Responsibilities Office Management: Organize and maintain files, records, and documentation, ensuring that all paperwork is up-to-date and accessible. Manage office supplies inventory and place orders as needed. Maintain a clean and organized office environment. Communication and Coordination: Act as the primary point of contact for general inquiries, directing them to appropriate personnel. Coordinate with floor management, HR, and other departments to facilitate smooth operations. Assist in preparing reports, presentations, and emails as needed. Scheduling and Payroll Support: Assist in managing employee schedules, ensuring shifts are adequately staffed. Track attendance and report any discrepancies to HR. Support payroll processing by gathering and verifying timesheets and overtime hours. HR Assistance: Assist HR in onboarding new hires, including documentation and orientation. Maintain updated records of staff information and assist with performance tracking. Support HR in coordinating staff meetings, training sessions, and events. Customer Service and Front Desk Support: Occasionally assist with front desk duties, such as greeting visitors or responding to guest inquiries. Support marketing efforts by distributing promotional materials or assisting with event coordination. Compliance and Record-Keeping: Ensure compliance with company policies and industry regulations. Maintain confidential records in accordance with data protection regulations. Qualifications Education: High school diploma or equivalent; additional certification in administration or HR is a plus.
