We are an expanding electrical construction company, committed to providing quality solutions and services. To support our growing operations, we are seeking a dedicated Administrative Assistant to join our team and help maintain smooth office operations.

Job Description:
The Administrative Assistant will be responsible for handling various administrative tasks to support the office and project teams. The ideal candidate will be detail-oriented, organized, and able to handle multiple tasks efficiently in a fast-paced environment.

Key Responsibilities:

  • Manage office documentation, including filing, organizing contracts, and project records.
  • Handle the vendor registration process, ensuring timely submission and compliance with company requirements.
  • Prepare official letters, memos, and other general correspondence as needed.
  • Monitor and manage the general company email inbox, ensuring important emails are flagged and promptly forwarded to the appropriate person in charge (PIC).
  • Arrange interviews for potential hires and internship candidates, coordinating with relevant team members.
  • Monitor and keep track of certificates nearing expiration, alert relevant personnel, and ensure timely renewal.
  • Perform general administrative tasks and support the team with ad hoc tasks as required.
  • Order and manage office supplies, liaising with vendors and service providers.
  • Assist with invoicing, payment tracking, and other basic financial tasks as needed.

Requirements:

  • Minimum qualification of SPM.
  • Fresh Graduates are welcome to apply
  • Proven experience in an administrative role, preferably within the construction or related industry.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Strong communication and organizational skills.
  • Ability to prioritize tasks, multitask, and work independently in a fast-paced environment.
  • High attention to detail, especially in handling emails, correspondence, vendor registration, and certificate renewals.
