Requirements Candidate must possess at least a Degree in Accounting/ Business Studies / Administration / Business Management, Secretarial or equivalent. Minimum 2 years of working experience as Personal Assistant or Executive Assistant. Required skill(s): Basic accounting and taxation knowledge, Business Management Skill Proficient in Microsoft Office . Ability to write excellently in English and Mandarin, as interactions is mostly with Mandarin speakers. Trustworthy and able to maintain confidentiality with high level of commitment and initiative. Attention to detail. Excellent organizational and problem-solving skills. Capable to multitask and prioritize effectively. Able to work independently with minimal supervision and collaboratively in a team environment. Possess own transport and willing to travel as and when required. Flexible to work outside of regular office hours and weekends when required. Interpersonal skills excellent dealing with internal and external parties. Job description a. Act as the first point of contact for the Executive Director and maintain the effective working of their offices in their absence. b. Provides direct support to the Executive Director including receiving and directing/assisting correspondence and visitors, handling telephone calls and enquiries, scheduling and maintaining calendar and appointments, screening, analyzing and preparing responses to incoming correspondence as well as handling day-to-day public relations. c. Maintain the highest level of confidentiality and adherence to policies and procedures. d. Plan and coordinate logistics for Director’s participation to internal and external events. Assisting the Director to plan trips and ensures effective logistics items (flights, visas, itinerary table and contacts, invitation letter, hotel confirmation, related travel documents) are up to date. e. Manage diaries by scheduling, prioritising and managing appointments, travel arrangements and papers for meetings. f. Managing correspondence, prepare draft responses as required, track incoming and outgoing correspondence and ensure replies are produced within the required timeframe. g. Maintain effective communication and working relationships with key partners and stakeholders at an operational level; the organisation’s senior management team and key internal and external stakeholders. h. Undertake research and coordinate or assist in other special activities as required. i. Attend specific meetings and take notes, write minutes, prepare presentation slides and material as required. j. Develops or maintains an accurate and up to date records management system and ensures the safeguarding of all files. k. To perform other duties and/or tasks as assigned in the interest of the management and company from time to time.
