• Credit Control • These tasks include but not limited to the followings: • Preparation of a weekly Account Receivable Ageing Report and Analysis every Monday. • To contact customer and ensure the payment is received into the company’s account on or before the due dates (term of payment.) • To paper a Statement of Account and disseminate to customer to improve collections. • To generate Payment Reminders per the protocol to customer’s missing the terms of payment dates and escalate ‘at-risk’ non-payment to higher management. • To prepare a receivables (collectible) four week forecast and share with the Finance department to enable effective cash flow management. • To coordinate with the Finance department for timely generation of invoices, credit note/debit notes. • Inbound Logistics • To coordinate with the Finance department for timely generation of invoices, credit note/debit notes. • To prepare a four-week rolling inbound collection plan – ‘Collection Plan’ every Friday and share with the Logistics Supervisor. This includes third party logistics management (3PL). • Liaise with the Logistics Supervisor and update daily collection versus the Collection Plan every workday, and to provide weekly collection report with analysis. • Monitor, receive and circulate all inbound related documents to Finance for timely invoice generation. • Update Finance department of payments received (as received). • To plan for a any planned down time of trucks, unplanned down time is to be monitored, reported, and actioned for continuous improvement. Target being ZERO unplanned downtime. • Prepare budget and analyses inbound logistics cost including, fuel, toll, repair & maintenance, inspections, insurance, and road tax. • Ensure trucks are always in good state of repair and presentable to ensure good corporate image. • Do all that is necessary that the truck is on the road and laden including timely rescheduling to avoid a potential payload. • Optimise the usage of trucks including double trips where possible. • Oher/ Administration • Other tasks as and when instructed and required by the Manager – Customer Service & Sales Administration.
