GENERAL RESPONSIBILITIES: Responsible for accurately updating and maintaining production status tracking systems, coordinating with the production team, generating reports, resolving discrepancies, and assisting with administrative tasks to ensure efficient and effective production operations. DETAILED FUNCTIONS/ RESPONSIBILITIES: 1. Update production status in Monday.com: • Monitor and update the production status board in Monday.com on a regular basis. • Input accurate and up-to-date information regarding the progress of production tasks, including start and end dates, completion percentages, and any issues or delays encountered. • Collaborate with production team members to ensure the timely and accurate updating of production status. 2. Administrative support: • Provide general administrative support to the production department, including but not limited to scheduling meetings, organizing files, and maintaining documentation. • Assist in maintaining production-related databases, spreadsheets, and records • Generate reports and analyse production data as required. 3. Communication and coordination: • Serve as a central point of contact for production-related inquiries and requests. • Coordinate with cross-functional teams to gather necessary information for updating production status and resolving any issues or discrepancies. • Communicate effectively with production team members and stakeholders to ensure clear and consistent updates on production status. 4. Process improvement: • Identify areas for process improvement within the production administration function and suggest practical solutions. • Streamline administrative workflows and propose enhancements to existing systems or tools. • PPE, Tools, Claim, OT form, medical leave (OA system) QUALIFICATIONS: 1. High school diploma or equivalent; associate's or bachelor's degree in a relevant field is preferred. 2. Proven experience in a production administration or similar role. 3. Proficient in using project management software, particularly Monday.com, to update and manage production status. 4. Strong organizational skills with the ability to multitask and prioritize work effectively. 5. Excellent attention to detail and accuracy in data entry and record-keeping. 6. Exceptional written and verbal communication skills. 7. Proficient in using productivity tools, such as Microsoft Office Suite (Word, Excel, PowerPoint). 8. Ability to work collaboratively in a team environment and interact with individuals at all levels of the organization. 9. Familiarity with production processes and terminology is a plus. 10. Demonstrated problem-solving skills and the ability to adapt to changing priorities and deadlines.
